Qualifications

  • University graduate; background in shipping or maritime operations is an advantage.
  • Experience in port agency operations or maritime logistics is beneficial.
  • Basic understanding of PDA/FDA processes and agency cost components.

Responsibilities

  • Coordinate port agency and owner’s husbandry activities per procedures.
  • Obtain quotations from port agents and perform basic cost checks.
  • Support cost comparisons and finalize agent appointments as instructed.
  • Communicate agent appointment details to vessels and relevant departments promptly.
  • Coordinate with internal departments for advance funding requirements.
  • Track treasury arrangements and remittances under supervision.
  • Follow up on Final Disbursement Accounts (FDA) submissions.
  • Verify PDA/FDA against charges and prepare documentation for review.
  • Maintain records of agency appointments, PDA/FDA, and supporting documents.
  • Coordinate with internal teams to ensure smooth agency operations.
  • Escalate changes in vessel schedules or agency arrangements as needed.
  • Prepare routine summaries, trackers, and reports.

Job description

The Agency Hub Executive is responsible for handling day‑to‑day port agency and owner’s husbandry activities within the centralized Agency Hub.

This role supports vessel operations by ensuring timely appointment of port agents, accurate handling of PDA/FDA, effective coordination with internal stakeholders, and consistent communication with vessel owners, ships, and local agents. The position plays a key role in maintaining service quality, cost control, and operational efficiency.

What You Will Do:
A. Port Agency & Owner’s Husbandry Operations

· Support assigned port agency and owner’s husbandry activities in line with company procedures and owner requirements.

· Assist in obtaining quotations from port agents and carry out basic cost checks under guidance.

· Support cost comparisons and assist in finalising agent appointments as instructed.

· Communicate port agent appointment details to vessels and relevant departments in a timely manner.

· Assist in coordinating with internal departments (Operations, Technical, Crewing, Finance, QHSE, etc.) for advance funding requirements.

· Track treasury arrangements and follow up on remittances under supervision.

· Follow up with port agents for timely submission of Final Disbursement Accounts (FDA).

· Assist in checking PDA/FDA against agreed charges and prepare documentation for review.

· Maintain accurate records of agency appointments, PDA/FDA, and supporting documents.

B. Communication & Coordination

· Support coordination with internal teams to ensure smooth agency operations.

· Share relevant updates and documentation to enable timely decision-making.

· Escalate changes in vessel schedules, port requirements, or agency arrangements to the Agency Hub Executive.

· Assist in liaising between vessel owners, operators, ships, and internal stakeholders.

· Support responses to routine operational queries and follow-ups.

· Maintain accurate records of communications, vessel movements, and agency activities.

· Assist in preparing routine summaries, trackers, and reports as required.

Qualification:
Knowledge & Experience:
  • University graduate or equivalent tertiary qualification.
    Background in shipping studies or maritime operations is an advantage.
  • Experience in port agency operations or maritime logistics with exposure to vessel husbandry services is an advantage
  • Basic understanding of PDA/FDA processes, agency cost components, and approval workflows.
  • Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
  • Good interpersonal and communication skills to interact effectively with internal and external stakeholders.
  • Ability to work under pressure and manage time‑sensitive operational requirements.
  • Proficient in using computer applications relevant to agency and logistics operations.
  • Fluent in spoken and written English.
