SmartQ, a pioneering food-tech leader, is seeking an Assistant Events Manager in Bengaluru. You will own the complete event lifecycle from planning and execution to post-event evaluation, ensuring seamless delivery and impactful experiences for global clients.

You will excel in stakeholder management, strategic thinking, and delivering client-focused events across corporate settings, hospitals, universities, and food courts. This role offers growth in a fast-paced, tech-enabled environment.

Qualifications

  • Bachelor's degree required or equivalent in relevant field.
  • 3+ years of experience in event management or related roles.
  • Proficiency in MS Excel, PowerPoint, and event management tools.
  • Good communication and interpersonal skills.
  • Knowledge of compliance, safety, and risk management.

Responsibilities

  • Plan and execute events from pre-event prep through post-event closure.
  • Coordinate with internal teams, vendors, venues, and stakeholders for smooth execution.
  • Manage multiple events simultaneously and meet deadlines.
  • Prepare event plans, schedules, MIS reports, and related documentation.
  • Monitor requirements, ensure quality, safety, and regulatory compliance.
  • Track event expenses and maintain accurate cost records.
  • Support on-ground operations and handle last-minute changes.
  • Assist popup calendar planning and onboarding of vendors.

As an Assistant Events Manager at SmartQ, you will lead the complete event lifecycle, from planning and execution to post-event evaluation, ensuring seamless delivery and impactful experiences.   • Assist in planning and executing events from pre-event preparation through post-event closure.
  • Support the Events Manager in coordinating event schedules, logistics, manpower, vendors, venues, and operational requirements.
  • Manage multiple event activities simultaneously and ensure timely completion of assigned tasks.
  • Coordinate with internal teams, vendors, event agencies, venues, and other stakeholders for smooth event execution.
  • Assist with Popup Calendar planning, scheduling, and coordination of popup events.
  • Support the vendor onboarding process, including documentation, compliance requirements, approvals, and coordination.
  • Assist in preparing event plans, checklists, schedules, presentations, MIS reports, and other event-related documentation.
  • Monitor event requirements and ensure all deliverables are completed as per agreed timelines and quality standards.
  • Support on-ground event operations and resolve operational issues or last-minute changes effectively.
  • Assist in tracking event expenses and maintaining accurate records of event-related costs.
  • Ensure adherence to safety, compliance, quality, and risk-management requirements during events.
  • Coordinate with vendors to ensure timely delivery of services, materials, and equipment.
  • Collect event feedback and support post-event reviews to identify areas for improvement.
Required Qualifications
  • Bachelor's degree in Event Management, Hospitality, Business Administration, Operations, or a related field.
  • 3+ years of experience in event management, event operations, hospitality, corporate events, or a similar role.
  • Prior experience in event coordination, vendor management, and on-ground event execution will be preferred.
  • Proficiency in MS Excel, PowerPoint, and event management tools.
  • Basic knowledge of compliance, safety, and risk management.
  • Good communication and interpersonal skills.
