You will work hands-on with management to convert manual processes into digital workflows, dashboards, and automation across counselling, admissions, and operations, leveraging AI, APIs, and Google Workspace.

Job Summary

Teachwell Institute & Teachwell Overseas is looking for a hands-on AI Automation & Technology Manager to become the company's first dedicated technology resource and help us build an AI-enabled education and counselling ecosystem.

The candidate will be responsible for understanding existing business processes, identifying opportunities for automation and building practical technology solutions using AI, APIs, Google Workspace, workflow automation and web technologies.

This is a hands-on builder role, not a traditional IT support role.

The candidate will work directly with the management team to convert manual processes into automated digital workflows, dashboards and internal tools.

KEY RESPONSIBILITIES

1. AI & Business Process Automation

• Study existing business processes across counselling, admissions, test preparation, study abroad, marketing and operations.
• Identify repetitive manual tasks that can be automated using AI and workflow automation.
• Design and implement automated workflows.
• Integrate AI tools with internal business processes.
• Build AI-assisted systems for counselling, reporting, lead management and student operations.
• Reduce dependency on manual data entry and repetitive ChatGPT prompting.

2. Google Forms Sheets AI Dashboard

A major responsibility will be converting existing Google Form-based processes into structured technology workflows.

The candidate should be able to build systems such as:

The candidate will:

• Build and maintain Google Forms.
• Structure Google Sheets as databases/data sources.
• Develop Google Apps Script automations.
• Connect Google Workspace with external APIs.
• Automate report generation.
• Create dashboards and internal interfaces.
• Develop systems that can eventually replace manual spreadsheet-based workflows.

3. AI APPLICATION DEVELOPMENT

The candidate should have experience working with modern AI tools and APIs.

Responsibilities may include:

• OpenAI APIs
• Claude APIs

• LLM workflows
• Prompt engineering
• Structured JSON outputs
• Retrieval/database-based AI systems
• AI-powered report generation
• AI-powered counselling assistants

The candidate should understand that AI should be integrated into real business workflows, not merely used for content generation.

4. WEBSITE DEVELOPMENT & MAINTENANCE

Teachwell currently has a Node.js-based website/application ecosystem, and we want to reduce dependency on external developers for routine changes.

The candidate will:

• Maintain existing Node.js applications.
• Make minor website/application changes independently.
• Fix bugs and troubleshoot technical issues.
• Add new pages, forms and functionality.
• Integrate APIs and third-party services.
• Maintain website performance and security.
• Manage Git/GitHub repositories and deployment workflows.
• Coordinate with external developers when specialised support is required.

Node.js experience is therefore highly desirable.

5. INTERNAL DASHBOARD DEVELOPMENT

The candidate will gradually help Teachwell move from spreadsheets and disconnected tools towards an integrated internal dashboard.

The candidate will work with the operations and counselling teams to:

• Automate counsellor assignments.
• Build follow-up workflows.
• Integrate CRM with AI tools.
• Create management dashboards.
• Reduce duplicate data entry.

8. DATA & DATABASE MANAGEMENT

The candidate should understand basic database architecture and data structures.

Preferred knowledge:

The candidate should be able to design data structures that can scale as Teachwell's student database grows.

9. DOCUMENTATION & SYSTEM OWNERSHIP

Since this will initially be a one-person technology function, the candidate must document everything they build.

• Maintain technical documentation.
• Maintain API documentation.
• Maintain workflow diagrams.
• Maintain database documentation.
• Maintain deployment information.
• Maintain Git repositories.
• Create SOPs for internal technology processes.
• Ensure the company does not become dependent on one external developer.

10. WORK DIRECTLY WITH MANAGEMENT

This position will work closely with the Founder/Management.

The candidate should be comfortable receiving a requirement such as:

"Currently my counsellor fills this Google Form. Then she copies the information into ChatGPT, researches universities and prepares a report. I want this entire process automated."
