Job Overview
We are looking for an organized and proactive Admin & Procurement Executive to support daily administrative operations and manage office-related procurement activities. The role will be responsible for maintaining a smooth workplace environment, coordinating vendors, managing administrative supplies, and ensuring cost-effective procurement processes.
The ideal candidate should have strong coordination skills, attention to detail, basic procurement knowledge, and the ability to work independently in a fast-growing business environment.
The role requires regular coordination and support across both the office and warehouse locations, ensuring smooth administrative operations and timely support for business needs.
Key Responsibilities
1. Administrative Management
- Manage daily office administrative operations, including office facilities, supplies, and general workplace coordination.
- Handle office documentation, records management, and administrative reports.
- Coordinate with internal teams for administrative requirements and provide timely support.
- Support employee onboarding arrangements, including workstation setup, access cards, office facilities, and basic employee support.
- Manage office assets, including asset registration, allocation, tracking, and inventory updates.
- Coordinate office maintenance, repairs, housekeeping, security, and other facility-related matters.
2. Administrative Procurement
- Handle procurement of office supplies, stationery, pantry items, IT accessories, furniture, and other administrative requirements.
- Source and evaluate suppliers, collect quotations, compare prices, and negotiate with vendors to ensure cost-effective purchasing.
- Maintain supplier relationships and coordinate delivery schedules.
- Prepare purchase requests, purchase orders, and procurement records.
- Track procurement expenses and support budget control.
- Ensure timely availability of essential office materials.
3. Vendor & Facility Management
- Coordinate with external vendors and service providers, including office maintenance, cleaning, security, courier, and other service partners.
- Monitor service quality and follow up on pending issues.
- Maintain vendor database and contract/service records.
4. Compliance & Reporting Support
- Maintain administrative files and ensure proper documentation.
- Support HR and Finance teams with administrative-related data and reports.
- Assist in company events, employee activities, and internal arrangements when required.
Requirements
- Bachelors degree or above in Business Administration, Management, or related fields.
- 1-3 years of experience in administration, office management, procurement, or related roles.
- Experience in vendor management and administrative purchasing is preferred.
- Good communication and coordination skills.
- Strong organizational ability and attention to detail.
- Basic negotiation and cost-control awareness.
- Proficiency in MS Office (Excel, Word, PowerPoint).
- Ability to work independently and manage multiple tasks.
Preferred Qualifications
- Experience working in a multinational company or startup environment.
- Familiarity with office procurement processes and supplier management.
- Good English communication skills.
