The Accounts Payable & T&E Analyst supports client's global Procure-to-Pay (P2P) operations. The role's main focus is end-to-end supplier invoice processing: making sure invoices are captured, validated, matched, coded, approved and paid accurately, on time and in line with policy and internal controls. As a secondary responsibility, the role supports Travel & Expense operations, including Concur expense audits, reimbursements and corporate card reconciliations.
This role helps the team run well by keeping internal controls strong, supporting month-end close, and improving processes through automation and AI-enabled finance tools. The ideal candidate pays close attention to detail, thinks analytically, gives good service to vendors and employees, and keeps looking for ways to improve in a fast-paced, global environment.
What You'll Do:
Accounts Payable - Invoice Processing (Primary Focus)
- Process high volumes of supplier invoices end to end for US, EMEA and India entities: intake, validation, GL and cost center coding, entry in the ERP, and routing for approval.
- Perform 2-way and 3-way matching of invoices against purchase orders and receipts. Investigate and resolve price, quantity and receipt mismatches with requesters, Procurement and vendors.
- Handle invoice exceptions such as invoices without a PO, POs without enough remaining funds, missing receipts, and approvers who have left the company. Follow up until each exception is resolved.
- Monitor and action the AP shared mailboxes (invoice intake and vendor queries) within agreed turnaround times. Triage, assign and close emails with clear documentation.
- Check invoices for compliance: correct legal entity name and address, tax and VAT/GST details, PO references, and duplicate-invoice checks before posting.
- Apply indirect tax rules to invoices, including GST, TDS and VAT where applicable, and escalated tax queries to the Tax team.
- Prepare and support payment runs (ACH, wire, virtual card and check). Validate payment proposals, resolve payment holds, and track rejected or returned payments until they are reprocessed.
- Respond to vendor inquiries on invoice and payment status professionally and on time. Share remittance details on request.
- Perform vendor statement reconciliations, follow up on open items and credit notes, and support Accounts Payable aging analysis and clean-up.
- Support vendor onboarding and maintenance documentation in line with vendor master controls. Flag any request to change bank details for independent verification.
- Track AP KPIs such as invoice volume, turnaround time, exception aging, first-time-right rate and past-due invoices, and contribute to weekly team reporting.
Travel & Expense Administration (Secondary Focus)
- Audit employee expense reports in SAP Concur for accuracy, receipt support, correct expense type and coding, and compliance with T&E policy. Approve or return claims with clear comments.
- Prepare and validate reimbursement payment files for approved claims and track them through to employee payout.
- Support corporate card and P-Card administration (card setup, activations and cancellations) and monthly card and Concur reconciliations.
- Help prepare T&E journal entries and accruals, and support T&E audit requests.
- Answer employee questions on expense submission and policy through the T&E mailbox.
Month-End Close & Financial Reporting
- Help with month-end close activities, including AP and T&E accruals, journal entries and account reconciliations.
- Prepare supporting schedules and documentation for financial reporting and audit requirements.
- Keep financial records complete and accurate in line with company retention policies.
- Support internal and external audit requests related to Accounts Payable and Travel & Expense activities.
- Make sure work complies with SOX controls, accounting policies and regulatory requirements.
Process Improvement & Automation
