We are seeking a proactive Workplace Operations & Tech Coordinator to provide hands-on day-to-day support for our office technology, meeting spaces, and general facilities services. In this role, you will be the main point of contact for employees on-site—helping keep our meeting rooms running, assisting with basic AV/video conferencing setup, coordinating day-to-day maintenance requests, and keeping track of standard workplace metrics. This is a practical, user-facing role ideal for someone who enjoys problem-solving, helping people, and keeping an office environment running smoothly.
Responsibilities
- Provide front-line troubleshooting and assistance for meeting room tech, AV systems, Zoom/MS Teams setups, and room booking screens.
- Conduct regular morning checks across meeting rooms and collaboration spaces to ensure all hardware and software are ready for use.
- Assist staff and visitors with basic tech setup ahead of important meetings or internal events.
- Log hardware faults with external IT/AV vendors and track tickets through to resolution.
- 2. Daily Facilities & Operations
- Coordinate minor maintenance repairs, office desk moves, and event setups with the on-site team and contractors.
- Carry out routine floor walks to identify and fix minor maintenance, cleanliness, or layout issues.
- Assist with incoming facilities queries from employees and direct requests to the appropriate team.
- 3. Basic Reporting & Administration
- Help track basic team KPIs like response times, room usage, and maintenance logs using Excel, SharePoint, Power BI and standard internal systems.
- Maintain clear instructions, basic user guides, and contact lists for workplace tools and vendors.
- Assist in gathering routine feedback from employees to help improve office services.
Qualifications
- 1–3 years of experience in workplace coordination, IT/AV helpdesk support, office administration, or junior Facilities Management.
Required Skills
- Practical familiarity with setting up and using MS Teams, Zoom, meeting room displays, and standard AV equipment.
- Comfortable using Microsoft Office (Word, Excel, Outlook) for basic tracking, scheduling, and logging.
- Strong customer-service mindset—approachable, patient, and keen to solve problems for colleagues.
- Clear communication skills and a dependable, hands-on work ethic.
Preferred Skills
- Prior experience working in a corporate office environment.
- Knowledge of MS SharePoint, MS Forms, Power BI, Power Automate.
- Basic understanding of office health and safety guidelines.
