Job summary

Uisce Éireann is seeking a Workflow Quality and Governance Coordinator to drive data governance, quality standards and asset information management across the Workflow team. You will monitor data integrity and contribute to improving processes within Asset Operations, Operations & Maintenance, and Customer Operations.

Working with colleagues, you will implement workflows, standardise procedures, maintain Maximo and GIS data, and support KPI monitoring and governance initiatives to deliver

Qualifications

  • Relevant third-level qualification or accreditation.
  • Minimum 2 years relevant experience in a similar role in water/utilities.
  • Proficient in IBM Maximo for asset management and workflow operations.
  • Strong data analysis and governance skills.

Responsibilities

  • Ensure data governance and quality standards meet regulatory requirements.
  • Collaborate with Workflow team and management to communicate, promote and share guidance and best practices on work management systems.
  • Develop and implement required workflows and processes to support transformation initiatives.
  • Support standardized work processes to ensure efficient delivery of operational work.
  • Assist with data quality assurance and audits to ensure data integrity.
  • Work with Asset Management, Operations & Maintenance to resolve data quality issues.
  • Contribute to procedures and standards related to asset information.
  • Maintain asset databases (Maximo, GIS) to keep data fit for purpose.
  • Monitor KPI’s and recommend improvements to stakeholders.
  • Build relationships across departments to support work management delivery.
  • Identify areas for improvement and coordinate enhancements.

The Role:

The Asset Operations function forms the cornerstone of service delivery to customers, protecting the environment and meeting regulatory standards as well as managing the majority of operational expenditure. The Asset Operations function has responsibility for operational and maintenance strategy, policies, planning and standard operating procedures for Water and Wastewater operations both nationally and regionally, ensuring that value for money and customer service is delivered.

The Workflow Functional Area is responsible for the management and monitoring of all outdoor work through the full work order lifecycle from planning to closure. This includes overseeing the initiation, dispatch and progression of work orders, processing of service requests, allocating adequate resources, identification of bundling opportunities, identification of work pre-requisites, creation of work orders to be progressed and dispatched to the field, the management of the logistics and stores to enable effective and efficient inventory control, Outage notification & processing and complaint resolution.

Reporting to the Workflow Quality and Governance Advisor, the Workflow Quality and Governance Coordinator will help drive forward a culture of quality improvement, ensuring the Workflow team are consistently operating to a high standard. The Quality Workflow and Governance Coordinator will play an important role in helping optimise productivity and maintaining standards and processes within the Workflow team through effective data governance.

Main Duties and Responsibilities:
  • Responsible for ensuring that data governance and quality standards are adhered to and support regulatory requirements and Uisce Éireann company objectives
  • Collaboratewith the Workflow Quality and Governance Advisorand managementacrossUisce Éireanntocommunicate,promoteandshareguidanceandbestpracticeonworkmanagement systems, methodologies, benefits andgovernanceframeworks
  • Assist with the development and implementallnecessaryWorkflowsystemsandprocesses to support ongoing transformation initiatives as required
  • Supportstandardised work processes across the Workflow team in order to ensureefficientdeliveryofoperationalworkagainstplansandtargetsforbothLocalAuthorityand third-party service providers
  • Assist the Workflow Quality and Governance Advisor with regular data quality assurance and audit to ensure sufficient data integrity
  • Work closely with counterparts from Asset Management, Operations & Maintenance etc. to resolve data quality or governance issues
  • Contribute to the formulation and implementation of relevant procedures and standards related to asset information
  • Support the Workflow Quality and Governance Advisor in shaping and implementing efficient and effective processes, and adopt the best practice data governance procedures
  • Ensure that asset databases in key Uisce Éireann systems, e.g. Maximo and GIS systems are maintained and are fit for purpose
  • Promote anddrivecontinuedworkmanagementevolutionandbestpractices tosupportthecaptureof all Uisce Éireann field activity
  • Assist the Workflow Quality and Governance Advisor in monitoringworkmanagementKPI’sandmakeappropriaterecommendationstothebusinessto ensure best practicesare implementedandstakeholderexpectations areachieved
  • Support the Workflow Quality and Governance Advisor to buildandfosterkeyrelationshipsacrossAssetOperations,AssetDelivery,CustomerOperations and the wider Uisce Éireann business ensuring focuson providing supporttoallaspectsofworkmanagement delivery
  • Proactivelyidentify areas for improvementand coordinate progression of the requiredenhancementinitiatives
  • Raise risks and issues, asappropriate, to the Workflow Quality and Governance Advisor
  • UnderstandandcontributetoachievingtheobjectivesandtargetsoftheWorkflowfunctionand overall departmental business plans
  • Performothersuch dutiesas required
General Duties and Responsibilities
  • Collaboration with key internal stakeholders across the UÉ business
  • Ensure compliance with security policies and maintain governance over user access controls.
  • Implement and maintain quality standards aligned with workflow, audit, and governance requirements.
  • Monitor, manage, and resolve new mobile application errors related to data workflows..
  • Coordinate and execute testing activities to validate system or process changes before implementation.
  • Conducts duties and responsibilities in accordance with Uisce Éireann’s Information Security policies, standards, processes and controls to protect the confidentiality, integrity and availability of UÉ business information, and delivery of critical services, in accordance with the NIS Directive and any other relevant cybersecurity regulation
  • Other duties as required.
Knowledge, Skills and Experience:
  • Relevantthird level qualification and or accreditation is desirable and or relevant experience
  • Minimum 2 year relevant experience in a similar role in the water, utilities or similar industries
  • Proficient in the use of IBM Maximo for asset management and workflow operations.
  • Experience in collecting, analysing and reviewing departmental and stakeholder data.Proactive, with ability to work on own initiative and with others to ensure success in the performance of a team
  • Proven effective time management skills with the ability to prioritise and remain focused
  • We work better together - proven ability to create and develop good working relationships to facilitate the accomplishment of work goals, coupled with the ability to gain commitment from others
  • Excellent verbal and written communication skills with the ability to convey messages in a clear and concise manner
  • Strong Computer skills with a proficient working knowledge of MS Word, Excel, PowerPoint and Outlook
