Job summary

The Irish Cancer Society is seeking a Supporter Services Assistant to work on fundraising campaigns including Daffodil Day, delivering outstanding donor care and administering donor data.

You will be the frontline contact for supporters, manage CRM records in Dynamics, and support multiple fundraising teams to help reach targets with efficient service.

Job description

Contract type: Specific Purpose Cover Contract - Maternity Leave Cover

Hours: Full-time (35 hours per week, 5 days per week). 9am to 5pm Monday to Friday

Location:The Society operates a hybrid working model with a combination of remote and in-person (Dublin 4 office) working

Office Days: Office attendance days are Wednesday & Thursday

Salary: €33,000 per annum

What you’ll do:

As a Supporter Services Assistant, you will be working closely with fundraising and communications team colleagues on a range of campaigns including Daffodil Day and Community Events. You would work with members of the fundraising teams in developing, administering and maintaining relationships with our fundraisers and donors and delivering the Society’s strategy and fundraising targets.

Key duties and responsibilities:
Supporter, volunteer and stakeholder relationships

Be the first point of contact for our fundraisers and donors, providing the highest standard of donor care through a warm, engaging and compassionate attitude and managing, maintaining and building relationships with supporters to achieve best retention across a range of media including phone, email, social media and post.

Field and respond to supporter and prospect requests/enquiries in a timely manner. Display excellent customer service standards across email, post and phone. Enter relevant detail into database.

Work closely with the Community Fundraising, Campaigns, Corporate and Distribution teams in delivering efficient fulfilment service for supporters and volunteers.

Conduct thank you and welcome calls to supporters.

Fulfilment of ad hoc supporter requests as required e.g. arranging cheque presentations and personalisation and sending of with sympathy and in memory cards.

Donor Information Administration

Input and maintain accurate data on Dynamics database (CRM).

Process, track and acknowledge all gifts through the database to ensure accurate processing and income assignment, and appropriate and timely acknowledgement of gifts.

Accurate processing of donations through Dynamics Database and web platforms, including scanning of relevant paperwork, inputting of financial details and set up of donation batches.

Comply with the Society’s policies and procedures, relevant professional codes of conduct and standards, regulation and legislation governing charities activities, including Data Protection and GDPR.

Administration

Assisting in meeting the annual fundraising and regional income targets and keeping the expenditure within the annual budget.

Support opening and sorting of post.

Other projects/tasks as required.

Who you are:
Qualifications and experience

You will typically have 1-2 years’ experience working in a fast-paced administrative role, with direct patient or client contact. The Society measures experience based on the quality of the experience obtained, rather than in time passed and welcomes applicants at all stages of their career.

Person Specification

Empathetic and compassionate: you will put the needs of the supporter first, demonstrating care and compassion toward all those you interact with, with an interest in the charity sector and growing your knowledge of Fundraising.

A clear and effective communicator, over the phone and in writing, with an ability to engage and build relationships with supporters and co-workers.

A practical problem-solver: you will be highly practical and able to come up with solutions and create efficiencies where possible.

An adaptable team player: you will work flexibly and collaboratively within your direct team, and with colleagues across the organisation, building strong relationships.

Organised and efficient: you will be highly organised and efficient in your work, with a strong attention to detail, and working effectively to deadlines.

Technology savvy: you will have a high level of proficiency in MS Office suite, and experience of working with CRM systems and databases, as well as using technology to support internal processes. Knowledge of MS Dynamics is an advantage.

General

The Irish Cancer Society operates a no-smoking policy, and the post holder must not smoke in the premise or when on Society business outside the premise.
