Job summary

The International Organization for Migration (IOM) Ireland is seeking a Project Assistant for the MHPSS Project in Dublin to support administrative, HR and financial activities within a one-year fixed-term contract, with potential extension.

You will assist the Site Coordinator, handle filing, processing of staff and travel claims, procurement, and liaise with relevant units to ensure smooth project delivery, confidentiality and service excellence.

Qualifications

  • Education: School diploma with five years of relevant experience; or a Bachelor's degree with three years of relevant professional experience.
  • Proven experience in a similar setting & capacity.
  • Excellent knowledge of information technology and proficiency in Microsoft Office applications, especially Excel, Word, PowerPoint.
  • Experience with EU and/or international funding instruments, in financial management and reporting, accounting, budgeting and internal controls.
  • Ability to maintain accuracy and confidentiality; strong interpersonal and intercultural skills.

Responsibilities

  • Assist the MHPSS Site Coordinator in implementing and monitoring administrative, financial and HR activities.
  • Process staff and travel claims in a timely manner per IOM rules.
  • Assist in purchasing items necessary to the project; follow up on internal processes with relevant units.
  • Provide general clerical support and perform other duties as assigned by the supervisor.
  • Maintain appropriate filing of all admin and HR documents.

IOM Ireland provides programming activities in migration management areas including Assisted Voluntary Return and Reintegration, Resettlement, Family Reunification, Counter-Trafficking, Protection, Mental Health and Psychosocial Support (MHPSS).

Context

The proposed project supports the International Protection Accommodation Services (IPAS) to provide international protection applicants with Community‑Based Mental Health and Psychosocial Support through Psychosocial Mobile Teams, aiming to improve psychosocial well‑being and resilience.

Core Functions / Responsibilities
  • Assist the MHPSS Site Coordinator in implementing and monitoring the administrative/financial and HR activities related to the project.
  • Implement delegated administrative actions in accordance with IOM rules, regulations and instructions.
  • Maintain appropriate filing of all admin and HR documents.
  • Process staff expense claims and travel claims of the MHPSS Project’s staff in a timely manner as per IOM rules.
  • Assist in the purchasing of items necessary to the project’s implementation, in accordance with IOM rules.
  • Follow up on the internal administrative and financial processes with the relevant units.
  • Assist the Site Coordinator with all stages of the administrative and HR functions related to the Project.
  • Provide general clerical support to the MHPSS Site Coordinator.
  • Perform any other duties as may be assigned by the supervisor.
Required Qualifications and Experience
Education
  • School diploma with five years of relevant experience; or, a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields with three years of relevant professional experience.
Experience
  • Proven experience in a similar setting & capacity.
  • Excellent knowledge of information technology and proficiency in Microsoft Office applications, especially Excel, Word, PowerPoint.
  • Experience with EU and/or international funding instruments, in financial management and reporting, accounting, budgeting and internal controls.
  • Demonstrated ability to maintain accuracy & confidentiality in performing responsibilities.
  • Strong interpersonal & intercultural skills with an attention to detail.
  • Previous work experience in international organizations and service industry companies is an advantage.

Languages
  • IOM’s official languages are English, French, and Spanish.
  • Fluency in English (oral and written) is required.
