Job summary

Smart Traders is seeking an Order Fulfilment & Warehouse Coordinator to support daily order processing, warehouse operations and customer service. The role requires on-site attendance at our Dublin 13 location and involves handling orders, stock records and coordination with couriers.

The position combines warehouse duties, order administration and customer communication, with responsibilities spanning order processing, packing, dispatch, and after-sales support.

Qualifications

• Strong attention to detail and a reliable, organised approach to work.
• Good written and spoken English, with clear and professional customer communication skills.
• A proactive attitude towards problem-solving and the ability to follow issues through to resolution.
• Confidence using computers, spreadsheets and order or inventory management systems.
• The ability to prioritise daily orders, customer enquiries and warehouse tasks effectively.
• Willingness to carry out hands-on warehouse work alongside administrative and customer service duties.
• The ability to commute reliably to our Dublin 13 location.

Responsibilities

• Daily order fulfilment: Process, pick, pack and dispatch orders accurately and on time. Prepare shipping labels, arrange courier collections and update order statuses.
• Order monitoring and issue resolution: Track shipments and proactively follow up on delayed orders, failed deliveries, missing parcels and other order-related issues until resolved.
• Customer service: Respond to customer enquiries through email and online sales channels, provide order and delivery updates, and handle complaints and after-sales queries professionally. Escalate issues where necessary.
• Customer and logistics coordination: Act as a point of contact between customers, couriers and logistics providers, ensuring clear communication and timely resolution of delivery issues.
• Order administration and after-sales support: Handle order amendments and cancellations, coordinate returns, exchanges and refunds in line with company procedures, and maintain accurate records.
• Warehouse and inventory management: Receive and check incoming stock, organise storage areas, update inventory records, monitor stock levels and flag shortages. Maintain a clean, safe and orderly warehouse.
• Stocktaking: Carry out regular stock counts, reconcile physical stock with system records, and investigate and report discrepancies.
