Are you an organised and customer-focused professional with experience in facilities management or service operations?

FläktGroup Ireland is seeking a dedicated Service Operations Lead to support the Service Operations Manager and ensure the smooth, efficient running of our HVAC service department.

This role is essential in delivering excellent customer service, ensuring PPM compliance, supporting sales activity, and coordinating day-to-day operational tasks.

What You’ll Be Doing

Reporting directly to the Service Operations Manager, you will be responsible for:

  • Acting as a daily point of contact for clients, ensuring clear communication and excellent service delivery
  • Coordinating planned preventive maintenance (PPM) schedules and ensuring all activities are completed on time
  • Assisting day-to-day service operations, including engineer scheduling, task allocation, and workflow coordination
  • Supporting service contracts, commissioning activities, and repair projects (Heat Pumps, Chillers, AHUs, etc.)
  • Producing client reports, KPI updates, and monthly service summaries
  • Ensuring all documentation, CRM/ERP updates, and service data are accurate and completed to a high standard
  • Working closely with engineers, subcontractors, and internal teams to resolve issues promptly
  • Supporting continuous improvement initiatives to enhance service quality and operational efficiency
  • Assisting with resource planning and operational readiness across the service team
  • Identifying potential service opportunities during client interactions (e.g. PPM enhancements, upgrade works, small projects)
  • Assisting the Service Sales Team by preparing quotes, gathering technical information, and supporting renewals
  • Providing early visibility of equipment condition issues or end-of-life assets that may lead to commercial proposals
What We’re Looking For

We’re seeking a responsible, client-focused professional who has:

  • Experience in facilities management and HVAC service operations
  • Strong communication skills with confidence in dealing directly with clients
  • Excellent organisation and time management abilities
  • Ability to work independently while knowing when to elevate issues
  • Strong IT skills including CRM/ERP systems, MS Word, Excel, and digital reporting tools
  • A proactive mindset with the ability to identify improvements and contribute to operational success
  • Experience in HVAC, building services or technical service environments
  • Knowledge of PPM scheduling and service contract operations
  • Experience supporting field service teams and engineers
  • Strong documentation and process-driven approach
