Job summary

Qualifications

  • Experience in administrative, customer service or office-based roles is advantageous but not essential.

Responsibilities

  • Maintain and update employee records and HR databases with accurate documentation.
  • Assist with onboarding activities and induction programmes.

  • Manage documentation for employment permits, visas and right-to-work checks.

About The Role

This entry-level HR role offers hands-on experience across key areas of Human Resources, supporting recruitment, employee engagement, and HR operations while developing foundational skills within our HR Department. The role requires a high level of attention to detail, discretion when handling confidential information, and the ability to work collaboratively within a team environment.

Key Duties And Responsibilities

The following outlines the key responsibilities of the position. This list is not exhaustive and may evolve to meet business requirements:

  • Maintain and update employee records and HR Department databases, ensuring all relevant documentation is accurately captured and filed.
  • Assist with the administration of employment permit, visa and immigration processes.
  • Track and follow up on pre-employment screening activities, including references and right-to-work documentation.
  • Support onboarding activities, including issuing pre-employment communications and coordinating induction programmes, internal system updates.
  • Assist with off-boarding processes, including resignation administration, system notifications to Payroll and IT, and exit interview coordination.
  • Prepare and issue employee correspondence as required, including employment verification letters and other HR documentation.
  • Process and record employee changes including contractual amendments, reporting line changes, promotions, and role transfers.
  • Attend occasional department meetings and record meeting minutes, actions, and follow-up items.
  • Ensure employee information is managed in accordance with GDPR and company data protection requirements.
  • Monitor probation review schedules, performance review dates, and other employee lifecycle milestones.
  • Support employee engagement initiatives, internal HR communications, EDI programmes, and cultural awareness activities.
  • Provide day-to-day administrative support to the HR Department.
  • Act as a first point of contact for employee queries, directing colleagues to the appropriate policies, systems, or support channels.
  • Assist with HR Department projects including reporting, audits and data quality initiatives.
  • Contribute to a culture of continuous improvement by identifying opportunities to enhance HR Department processes and ways of working.
  • Support annual review cycles, system updates, mail merges, contractual updates, and associated administration.
  • Participate fully in all training and development activities required to perform the role effectively.
  • Undertake additional duties and responsibilities as reasonably required to support the evolving needs of the business.
Key Requirements
  • A third-level qualification in Human Resources, Business, Administration or a related discipline, or be working towards an equivalent qualification.
  • Previous administrative, customer service or office-based experience would be advantageous but is not essential.
  • Proficiency in Microsoft Office applications, particularly Excel, Outlook, Word and PowerPoint.
  • Strong attention to detail, with a high degree of accuracy and a commitment to maintaining confidentiality.
  • Excellent organisational and administrative skills, with the ability to manage multiple priorities and meet deadlines.
  • Effective written and verbal communication skills.
  • The ability to work collaboratively within a multidisciplinary and multicultural environment.
  • A positive, proactive and employee-focused approach.
  • A strong willingness to learn and develop within the HR profession.
  • The ability to work independently, use initiative and take ownership of assigned responsibilities.
  • A high level of integrity, professionalism and discretion.
  • An approachable manner and a genuine interest in supporting employees and contributing to a positive employee experience.
  • The ability to build effective working relationships with colleagues across all levels of the business.
  • A flexible and adaptable approach to changing priorities and business requirements.
  • Experience using HR information systems or databases would be advantageous but is not essential.
  • An understanding of GDPR and the importance of protecting confidential employee information would be advantageous.
