Job description

Windward Management is seeking an experienced hotel professional to take responsibility for supporting the successful opening, integration and ongoing readiness of Windward's hotel and hostel portfolio.

Reporting to the Deputy COO, the Group Hotel Integration Manager will work closely with Regional General Managers, General Managers, hotel management teams, suppliers, contractors and Group functions to ensure key pre-opening requirements, procurement activities, compliance actions and contractor obligations are effectively coordinated, monitored and completed.

The role is a key link between Group Management and the hotels, providing clear visibility of progress, outstanding actions, risks and matters requiring escalation. The successful candidate will be organised, commercially aware and operationally experienced, with the confidence to work across multiple properties and engage effectively with senior hotel management and external partners.

Competency Criteria and Qualifications

  • Significant professional experience within the hotel industry.
  • Strong understanding of hotel operations and the interdependencies between departments.
  • Strong organisational, project coordination and time-management capability.
  • Strong commercial awareness and an understanding of value for money.
  • Practical understanding of Health & Safety requirements, risk assessments and contractor compliance.
  • Experience with hotel procurement, supplier management or sourcing.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, with excellent follow-through and accountability.
  • Strong IT and reporting capability appropriate to managing multiple projects, trackers and action plans.
  • Significant experience within the hotel industry, ideally in a senior operational role such as Operations Manager, Deputy General Manager, senior departmental leadership role or equivalent.
  • Experience working across multiple hotel departments and/or properties.
  • Experience with hotel openings, pre-openings, refurbishments, renovations or major operational projects.
  • Experience working with contractors, suppliers and external service providers.
  • Experience coordinating multiple workstreams, deadlines and stakeholders through to completion.
  • Experience in hotel procurement, supplier management or sourcing.
  • Experience reviewing and following up on compliance documentation, Health & Safety requirements and contractor obligations.
  • Ability to travel regularly between Windward properties.

  • Key working relationships: Chief Operating Officer, Regional General Managers, General Managers, Hotel Management Teams, Windward Purchasing, Group functions, suppliers and contractors.

Key Areas of Responsibility

Property Compliance and Contractor Oversight

  • Carry out bi-annual compliance and operational assurance visits across Windward's hotel and hostel portfolio.
  • Check that appropriate third-party and contractor certification, documentation and records are in place and to the required specification and standard.
  • Review Health & Safety Statements, Risk Assessments and Method Statements relevant to the property and verify that agreed Health & Safety procedures and controls are being implemented in practice.
  • Identify deficiencies, outstanding works, documentation gaps or areas of risk and ensure that appropriate corrective actions are agreed.
  • Maintain a central record of outstanding actions and monitor these through to completion.
  • Liaise with hotel management, contractors and relevant Group functions to resolve outstanding matters.
  • Escalate significant risks, recurring issues or delays to the Deputy COO.
  • Undertake follow-up visits where required to confirm that agreed actions have been completed.

New Property Openings and Integration

  • Support the COO, Deputy COO and Regional General Managers in the preparation and delivery of new hotel and hostel openings.
  • Establish and maintain comprehensive pre-opening action plans covering all key operational requirements.
  • Coordinate with RGMs, GMs and departmental heads to ensure pre-opening actions are completed within agreed timescales.
  • Monitor progress against key opening milestones and identify potential delays or risks at an early stage.
  • Ensure outstanding actions are clearly allocated to an owner and followed through to completion.
  • Assist with pre-opening meetings, site visits and operational readiness reviews.
  • Provide regular progress reports highlighting completed actions, outstanding items, key risks and matters requiring escalation.
  • Support the transition from pre-opening activity into the operational hotel environment.

Pre-Opening: OS&E Sourcing, Tender, Procurement and Scheduling

  • Assist Windward Purchasing with sourcing and procurement of operational products and equipment specified for new hotel and hostel openings.
  • Source appropriate new suppliers and ensure they are introduced to Windward Purchasing before progressing with new orders.
  • Assist Windward Purchasing with the detail and specification required for tender documents in relation to new opening services, including descriptions, specifications, architectural drawings and technical specifications.
  • Work with relevant hotel and Group teams to establish product specifications and requirements.
  • Assist with sourcing OS&E, operational equipment, guest supplies, F&B equipment and other opening requirements.
  • Coordinate samples, specifications, quotations, approvals and orders.
  • Maintain detailed procurement trackers for each opening.
  • Monitor order status, lead times and delivery schedules.
  • Identify potential procurement delays or long-lead items and escalate these at an early stage.
  • Liaise with suppliers and contractors to ensure products and equipment are delivered when required.
  • Work with Finance, Procurement and hotel teams to ensure purchasing follows agreed Group procedures.
  • Support the implementation of selected Group-wide initiatives across the hotel portfolio.
  • Assist with the introduction of new suppliers, products, systems and processes where required.
  • Support hotel refurbishments, improvement programmes and other initiatives where there is a requirement for cross-property coordination.
  • Support the COO and Deputy COO with specific projects and initiatives as required.
