Job summary

Bentley Systems is seeking a Process Documentation Specialist to transform fragmented HR process knowledge into standardized, automation-ready documentation supporting global service delivery. You will partner with HRSS, COEs, HRBPs, Workday/HR Technology, and other stakeholders to ensure clear ownership, controls, and end-to-end process clarity.

Qualifications

• 5+ years in HR Shared Services, HR Operations, process documentation, or related operational excellence role.
• Strong experience documenting business or HR processes in a structured and standardized format.
• Familiarity with Workday or HR technology is preferred.
• Ability to translate fragmented knowledge into clear, concise documentation.
• Experience with knowledge management and governance is a plus.

Responsibilities

• Create clear, standardized HR process documentation using Bentley’s template.
• Convert fragmented materials into structured, high-quality documents.
• Document HRSS processes focusing on end-to-end flow, inputs, outputs, roles, systems, controls, and escalation points.
• Validate process accuracy with HRSS, COEs, HRBPs, Workday/HR Technology, and stakeholders.
• Support global HRSS process inventory and ownership tracking.
• Identify documentation gaps, outdated materials, and unclear ownership.
• Assist in knowledge base cleanup and alignment with approved processes.
• Help establish governance: review cycles, changes, and quality standards.
• Apply HRSS documentation principles: simple language, flow-first design, automation-ready structure.
• Leverage Copilot and AI tools to accelerate drafting, review, and gap identification.
• Maintain focus on colleague experience and consistent service delivery.
• Prioritize high-impact processes for documentation with HR Operations leadership.
• Prepare for future automation with clear triggers, inputs, outputs, and dependencies.
