Responsibilities

  • Process and pay creditors invoices in line with Revenue regulations, Prompt Payment of Accounts and eRCT.
  • Ensure procurement procedures are observed and adhered to; manage supplier payments within 15-day terms.
  • Set up and amend creditor accounts and assist with supplier queries; reconcile statements.
  • Assist in processing grant claims and liaise with clients and project executives as required.
  • Maintain internal procedures, update manuals, and support system upgrades.

Executive Assistant - Financial Management (2026-65)

Job Purpose:
This role holds a critical role in the IDA Finance Department with a particular focus on the efficient payment of invoices, assisting in checking and processing of IDA staff expense claims and assisting in processing client grant claims, in accordance with IDA procedures.
Key Tasks:

  • To process and pay creditors invoices in accordance with the provisions of Revenue regulations, Prompt Payment of Accounts and eRCT legislation.
  • To ensure that the Procurement procedures are observed and adhered to.
  • To ensure that suppliers are paid within the time frame permitted under internal provisions for meeting the requirements of the 15-day Prompt Payments Act.
  • Set up and amendment of creditor accounts and supplier details. Assist with supplier queries.
  • Process credit notes and reconcile supplier accounts statements on an ongoing basis and resolving creditor invoice queries on an ongoing basis.
  • Maintain Utilities Contract register
  • Assisting in processing grant claims to include liaising with clients and project executives as required and updating grant payments on the Grants Payments system.
  • Deal with staff/ supplier/ client queries efficiently and effectively.
  • Other ad hoc duties that may be assigned related to Financial Management function.
  • Ensure that IDA procedures regarding the registering, processing and settlement of Invoices, Expenses and Grant claims are effectively implemented.
  • Ensure that procedure manuals are regularly updated.
  • Assist with system upgrades and enhancements

Additional Requirements
  • A relevant third level qualification, to a minimum of degree standard, and/or relevant business experience is desirable but not essential.
  • Ability to work well under pressure and meet challenging deadlines.
  • Ongoing flexibility.
  • Aspects of this role will require working outside of normal office hours.
  • A full driving license is desirable but not a requirement

Salary:
€28,358 to €46,439 per annum contributory superannuation.
Rising by long service increments to €47,762 (after 3 years satisfactory service at the maximum of the range
