Job description

Dublin / Hybrid | Temporary, full-time contract (approximately 3.5 months) | Immediate start

We are partnering with a national public-sector organisation to appoint an experienced Conference Event Coordinator for a high-profile international event taking place in Dublin in autumn 2026.

The conference will bring together senior speakers, experts and delegates from Ireland and overseas, with several hundred people attending in person and a significant online audience. The programme will include keynote addresses, panel discussions and parallel sessions.

This is an excellent opportunity for an experienced events professional to take ownership of a complex, large-scale conference and work with a broad range of government, European, venue and delivery partners.

The role

Reporting to the Conference Lead, you will coordinate the planning and delivery of the event, ensuring that the programme, speakers, delegates, venues and operational requirements come together seamlessly.

Your responsibilities will include:

  • Acting as the primary contact for speakers, panellists, moderators and other contributors.

  • Coordinating speaker travel, accommodation, briefing materials, biographies and presentations.

  • Preparing a detailed run-of-show for the conference.

  • Monitoring registrations, delegate requirements and general conference enquiries.

  • Managing communications with registered delegates.

  • Maintaining up-to-date programme and speaker information across event webpages.

  • Coordinating venue requirements, including audiovisual services, live streaming, catering, signage, registration areas and room layouts.

  • Organising rehearsals and technical run-throughs.

  • Planning roles and briefings for event support teams and volunteers.

  • Liaising with venues, suppliers, photographers and other external partners.

  • Identifying operational risks and resolving or escalating issues as required.

  • Supporting promotional and communications activity.

  • Tracking budgets and expenditure in line with relevant policies and procedures.

  • Reporting on progress, milestones and risks to internal teams and project committees.

About you

You are a highly organised, hands‑on events professional who can manage a complex project involving multiple stakeholders and fixed deadlines.

You will bring:

  • At least three years’ relevant experience delivering high-profile events.

  • Strong event and project management experience.

  • Proven experience coordinating multiple internal and external stakeholders.

  • The ability to manage competing priorities and adapt to changing requirements.

  • Excellent written, verbal and interpersonal communication skills.

  • Strong organisational and administrative capabilities.

  • Experience managing suppliers, budgets, timelines and event risks.

  • A calm, practical and solutions‑focused approach.

  • Close attention to detail and a strong commitment to delivering an excellent delegate and speaker experience.

Experience delivering academic, research, public‑sector, international or European events would be particularly advantageous.

This is a full-time temporary position for approximately three and a half months, with an immediate start. The role will operate on a hybrid basis in Dublin, with increased on‑site attendance required as the conference approaches.
