The responsibilities & competencies required for the role of Ecommerce & Commercial Executive with HRI Racecourses Ltd are as follows:
Role Purpose
Full responsibility for the day-to-day management and maintenance of the shared ticketing system, ensuring it is aligned with all products, promotions and capabilities as required to support the activities of the ticketing function at the racecourses.Provide support to the hospitality functions around festivals and larger meetings. The role will also support the Commercial team in the delivery of sponsorship and commercial partnerships, including partner servicing, reporting, fulfilment of contractual rights, commercial analysis and pitch support, helping to maximise commercial revenue opportunities across HRI Racecourses.
Responsibilities
Ticketing Administration
- Ensure the ticketing system can support the activities of the sales function by :
- Creating events and promotional codes
- Uploading barcodes, ticket options
- Linking ticketing system to the racecourse websites
- Ensuring ticket prices are up to date at all times
- Ensuring ticket options are ‘live’ and available for sale on the website and on the ticketing system site
- Maintaining the ticketing system and ensuring that there is a consistent message through to the main racecourse website.
- Become the super user of the system and be able to interpret the operational impact of sales initiatives on the system
- Champion ticketing innovation and embrace new functionality
- Re-design of tickets with input from Marketing, Racecourses and Commercial team
- Work closely with Insights team to ensure consistent product naming and accurate reporting
- Manage the ticketing web pages in terms of design and functionality for the 4 HRI racecourses. Ensure that the events and products are on sale in line with HRI pricing and sales window document.
- Work closely with the Commercial and Finance teams to ensure all special products are built and available and all reports can be easily reconciled
- Work with our partner Cloda on the WhatsApp sales channel. Ensure that WhatsApp messages are sent for all festivals. Liaise with the Digital Marketing team on data growth initiatives.
- Work with HRI Marketing and Racecourses to ensure that ticketing system access control functions are appropriate
- Support the racecourses in the training of ticketing system users, and ensure all user manuals are updated as required
Race Day Support
- Provide ticketing and access control support across HRI racecourses, ensuring scanners, turnstiles and associated systems are operational and race-day ready.
- Deliver training and technical support to racecourse staff and third-party providers, resolving issues efficiently to ensure a seamless customer experience.
- Assist on-site during race meetings and major festivals, supporting admission operations, courtesy desks, cash sales points and other event-day activities as required.
- Participate in the race day support rota and be available on-call for HRI racecourse fixtures (Leopardstown, Fairyhouse, Navan and Tipperary).
Hospitality Administration
- Support enquiries for hospitality, working with racecourse hospitality teams to ensure each booking is complete and accurate
- Support the racecourses with the print and preparation of tickets
- Follow all established procedures in relation to processing booking, payments, receipt issue, booking records etc.
Project Management and Support
- Use your understanding of user requirements, research and your technical and systems knowledge to support testing of the system
- Engage user acceptance testing and any other tasks to support enhancements to the ticketing system
Commercial & Sponsorship Support
- Support the Commercial team in the management and delivery of sponsorship and commercial partnerships across HRI Racecourses.
- Assist with the fulfilment of sponsor rights and benefits, ensuring all contractual obligations are delivered to a high standard and within agreed timelines.
- Act as a day-to-day point of contact for selected commercial partners, developing strong working relationships and ensuring excellent partner service.
- Coordinate sponsorship assets across racecourses, including branding, hospitality entitlements, promotional activity, digital assets and ticket allocations.
- Assist in the preparation of commercial proposals, sponsorship presentations and sales materials for prospective partners.
- Support the Commercial team in identifying new sponsorship opportunities and revenue-generating initiatives across racecourses and events.
- Work with Marketing, Digital and Racecourse Operations teams to ensure sponsorship activations are executed effectively.
- Prepare post-event and end-of-season sponsorship reports, including attendance figures, audience insights, digital performance metrics and return-on-investment summaries.
- Maintain accurate records of sponsorship agreements, rights inventories and commercial partner activity.
- Assist in the valuation and packaging of racecourse assets to support sponsorship sales opportunities.
- Support the delivery of sponsor activations and hospitality programmes during major festivals and race meetings.
- Monitor commercial performance metrics and provide regular reporting on sponsorship and commercial activity.
Skills and Experience
- Excellent communication, relationship management and customer service skills.
- Commercially minded with experience or exposure to sponsorship, partnerships, account management or business development.
- Strong understanding of online sales platforms, ticketing systems, CRM systems and reporting tools.
- Analytical with the ability to interpret sales data, customer insights and performance metrics.
- Experience preparing reports, presentations and commercial proposals.
- Highly organised, detail-oriented and capable of managing multiple priorities to tight deadlines.
- Self-motivated, proactive and solution-focused, with strong project administration skills.
- Experience in sport, events, hospitality or entertainment sectors, and knowledge of the racing industry, would be advantageous.
