Job description

BnM is seeking a Communications Graduate to join our team in Newbridge on a Fixed Term Contract. The Comms Graduate will be required to provide operational, organisational and administrative support to the Comms & Engagement team, ensuring that day‑to‑day activities and wider departmental functions run smoothly. The role supports documentation management, financial and procurement processes, internal communication, and meeting coordination, while maintaining strong governance, confidentiality, and compliance standards.

The Comms Graduate is a central point of support and coordination, helping the team remain organised, efficient, and focused on delivering core priorities.

Additionally, the Comms Graduate will be given the opportunity to own specific projects within each of the functions within Comms & Engagement, most notably in the space of Community Benefit Funds, Sponsorship, Events and PR.

The main duties and responsibilities of the role will include the following:

  • Project & Team Support: Support CSR team with management of Community Benefit Funds, donation requests and sponsorship activity and create relevant SOPs. Conduct research into relevant & credible industry awards and manage applications and advertising for awards as required. Track and manage press release document control, filing and distribution. Provide administrative assistance to team projects, working groups, and priority initiatives. Support onboarding of new/returning team members, including equipment coordination and induction scheduling. Assist in tracking project timelines, documentation, and reporting requirements.
  • Document, Data & Systems Management: Store, organise, and manage documentation on SharePoint, ensuring correct versioning and accessibility. Act as the central point for version control of approved branded materials (Word, PowerPoint, templates). Ensure documents comply with organisational brand, quality, and governance standards. Support maintenance of team data records, registers, and audit trails.
  • Meetings, Coordination & Engagement Support: Schedule and coordinate meetings, workshops, and team sessions. Prepare and distribute agendas, papers, and supporting materials. Take minutes and circulate action notes where required, ensuring follow‑up on agreed actions. Support engagement activities such as public consultations, including materials preparation, and manage bookings, logistics, technical needs for meetings (rooms, equipment, virtual platforms) and team coordination.
  • Finance, Procurement & Compliance: Create and process purchase orders on Oracle and assist with PO tracking, supplier onboarding and invoice processing. Administer team timesheets for P30 or equivalent reporting. Maintain accurate financial records and follow procurement procedures and audit policies.
  • Communication & Stakeholder Liaison: Collaborate with Internal Comms Exec to deliver internal events for employees. Support internal communications within the team, including preparing updates, notices, and team information. Liaise with internal departments to support smooth information flow and coordination.
  • Community Relations & Engagement: Manage incoming and outgoing post, ensuring timely distribution. Scan documents, including feedback forms and consultation materials, and share them with relevant colleagues. Manage and maintain confidential information in line with data‑protection and organisational policies. Maintain accurate digital and physical filing systems. Update and maintain internal trackers, logs, and registers. Attend consultation events as required.

  • Proactively participate in the Performance Management process to ensure delivery of own, and the wider team's objectives.
What we're looking for:

The ideal candidate will possess the following qualification, skills, knowledge, and attributes:

  • Degree qualification, ideally in a business-related discipline. Excellent written and verbal communication skills with a strong command of English. Strong organisational, administrative and multitasking skills. High level of attention to detail and accuracy.
  • Ability to handle confidential and sensitive information with discretion. Action-oriented, results-driven approach with a proactive mindset. Excellent interpersonal skills with the ability to work independently and collaboratively. Positive, flexible and can‑do attitude.
  • Proficiency in Microsoft Office applications, including Outlook, Teams, Word, Excel and PowerPoint. Experience using SharePoint or similar document management systems. Experience with Oracle or similar finance and procurement systems. Previous experience in a fast‑paced commercial or corporate environment.
  • Experience supporting events, consultations and stakeholder engagement activities. Flexibility to work evenings and weekends as required to attend community meetings or events. Additional qualifications in stakeholder engagement, negotiation, mediation, GIS, or project management would be desirable.
