Job Overview
The Sales Admin Staff is an essential part of the Sales Admin department, responsible for managing various administrative tasks that facilitate the smooth operation of the branch. This role requires a detail-oriented individual to ensure compliance with standard operating procedures (SOP) while effectively coordinating administrative functions.
Roles and Responsibilities
- APU & eAPU (Money Spending AppAdministration: Input, monitor, follow up, and ensure the completeness of APU/eAPU submissions according to SOP until received by Head Office (HO).
- Document Verification & Filing: Verify the completeness and validity of documents, perform scanning, filing, and ensure all branch documentation is stored securely and can be easily retrieved.
- BKK (Cash Disbursement ReceiptAdministration & Approval: Check completeness of manual BKK, ensure approval from Account Manager (AM), and input completed BKK into the system.
- Branch Financial Administration: Monitor branch budget and finance, ensure that bank balances and systems are aligned, and manage periodic reimbursement of operational funds.
- Payment & Operational Support: Manage payments for operational needs, such as internet services and other necessities related to operational support.
- Branch Office Administration: Ensure the availability of office supplies (ATK), canteen services, document delivery, and that all administrative needs are met efficiently at the branch.
- Asset & Facility Management: Monitor the condition and functionality of office devices/assets and conduct asset data collection and recap for the branch.
- Master Data Management: Input, update, and maintain the accuracy of the doctors' database in the system.
- System & Application Support: Assist and guide Medical Representatives (MR) in using applications such as Pro-Int, e-Benefit, JMO, and other related systems.
- Communication & Information Management: Deliver updates from the HO to Field Force (FF)/Medical Reps and ensure operational information is communicated accurately and timely.
- Travel & Doctor Support: Arrange ticket and hotel bookings for doctors/HCP (Healthcare Prefessional) and ensure all travel administration requirements are met.
- Year-End Closing & Correspondence: Execute the year-end closing process and handle branch administrative correspondence.
Key Qualifications
- Minimum Diploma (D3/S1) in Administration, Management, Accounting, or related fields.
- Basic understanding of financial administration and document management.
Required Experience
- 1 to 2 years of experience in administration, financial administration, branch administration, or similar roles.
- Experience in document checking, data entry, filing, and administrative monitoring.
- Experience working with multiple stakeholders is an advantage.
Required Skills and Competencies
- Proficient in Microsoft Office, especially Excel and Word.
- Accurate data entry and data processing skills.
- Understanding payment administration processes, budget monitoring, and basic reconciliation.
- Ability to use company applications/systems and quickly learn new applications.
- Familiarity with document filing principles and administrative controls.
