Job summary

Ulu Cliffhouse seeks an experienced Purchasing Assistant Manager to join our management team in Badung, Bali. This full-time role focuses on optimising procurement operations, maintaining supplier relationships, cost control and inventory management across our hospitality establishment.

You will work with senior purchasing leadership to implement policies, manage negotiations, and lead a team to ensure timely delivery of goods and services while upholding sustainability and ethical sourcing

Qualifications

• 3–5 years of purchasing or procurement experience, preferably in hospitality.
• Proven ability to manage supplier relationships and negotiate cost savings.
• Strong knowledge of purchasing systems, inventory management and supply chain processes.

Responsibilities

• Assist in developing and implementing purchasing policies to ensure compliance with standards.
• Manage supplier relationships and negotiate pricing and terms.
• Process purchase orders and monitor delivery schedules for timely receipts.
• Maintain accurate records of purchases, invoices and payments in the procurement system.
• Analyze purchasing data to identify cost-saving opportunities and efficiency improvements.
• Coordinate with department heads to forecast demand and understand requirements.
• Ensure quality control of received goods and manage returns or disputes with suppliers.
• Supervise logistics staff and provide guidance on purchasing best practices.
• Prepare purchasing reports and present findings to senior management.
• Support sustainable and ethical sourcing initiatives.

About the role

Ulu Cliffhouse is seeking an experienced Purchasing Assistant Manager to join our management team in Badung, Bali. This is a full-time position that plays a critical role in optimising our procurement operations and supporting the efficient delivery of supplies and services across our hospitality establishment. As Purchasing Assistant Manager, you will work alongside our senior purchasing leadership to ensure we maintain the highest standards of supplier relationships, cost control and inventory management that are essential to our operations.

What you'll be doing

• Assisting in the development and implementation of purchasing policies and procedures to ensure compliance with company standards
• Managing supplier relationships and conducting negotiations to secure competitive pricing and favourable terms
• Processing purchase orders and monitoring delivery schedules to ensure timely receipt of goods and services
• Maintaining accurate records of purchases, invoices and payments within the procurement system
• Conducting regular analysis of purchasing data to identify cost‑saving opportunities and efficiency improvements
• Liaising with department heads to understand purchasing requirements and forecast demand
• Ensuring quality control of received goods and managing returns or disputes with suppliers
• Supervising logistic staff and providing guidance on purchasing best practices
• Preparing purchasing reports and presenting findings to senior management
• Supporting the implementation of sustainable and ethical sourcing initiatives

What we're looking for

• Minimum 3-5 years of purchasing or procurement experience, preferably within the hospitality or tourism sector
• Proven experience in supplier management and negotiation with a track record of achieving cost savings
• Strong knowledge of purchasing systems, inventory management and supply chain processes
• Excellent organisational and time management skills with the ability to manage multiple priorities
• Demonstrated ability to analyse data and prepare reports
• Strong communication and interpersonal skills with the ability to build effective relationships across departments and with external suppliers
• Leadership potential with experience supervising or mentoring team members
• Proficiency in Microsoft Office applications and procurement software
• Bachelor's degree in Business Administration, Supply Chain Management, Hospitality Management or a related field is preferred
• Fluency in English and Indonesian is advantageous
• Knowledge of hospitality procurement trends and best practices is desirable
