About the Role
We are seeking a highly professional, discreet, and service-oriented Private Residence Manager to oversee the day-to-day operation of a private residence belonging to a prominent Indonesian family.
The House Manager will act as the main point of contact for the residence, ensuring that the household is well-organized, properly maintained, and ready to meet the needs and expectations of the principal members. This role is combining high-level personal service, household management, staff coordination, property oversight, and vendor management.
Key Responsibilities
Residence & Household Management
- Oversee the daily operation of the private residence and ensure everything is properly arranged and maintained.
- Ensure the residence is always clean, organized, comfortable, and prepared for the principal and family members.
- Coordinate daily household activities and services according to the family's schedule and preferences.
- Anticipate the needs of the principal and family and ensure requests are handled promptly and discreetly.
- Coordinate arrangements for guests, private events, dinners, meetings, and other activities held at the residence.
- Maintain high standards of hospitality and service throughout the residence.
Household Staff Management
- Supervise and coordinate household staff, including butlers, housekeepers, gardeners, drivers, cooks, security personnel, and other supporting staff.
- Prepare staff schedules and ensure adequate coverage based on the family's activities and requirements.
- Monitor staff performance, discipline, appearance, and service standards.
- Train and guide household staff to maintain consistent service quality.
- Coordinate recruitment or replacement of household staff when required.
Principal & Family Support
- Serve as the primary liaison between the principal/family and household staff.
- Assist with daily arrangements, appointments, deliveries, visitors, and other household-related requests.
- Coordinate transportation, meals, guest arrangements, and other services when required.
- Maintain a high level of professionalism and discretion when interacting with the principal, family members, and guests.
Property & Asset Oversight
- Ensure furniture, household equipment, vehicles, appliances, and other residence assets are properly maintained.
- Coordinate repairs, maintenance, cleaning, landscaping, pest control, and other property services.
- Conduct regular checks of the residence and report any issues requiring attention.
- Maintain an inventory of household assets, supplies, and consumables.
- Ensure essential household supplies are available and properly managed.
Vendor & Service Provider Management
- Coordinate with contractors, suppliers, maintenance providers, cleaning services, catering, florists, laundry services, and other vendors.
- Monitor service quality and ensure vendors meet the family's expectations.
- Review quotations and coordinate purchases and services as required.
- Ensure all external personnel working at the residence are properly coordinated and supervised.
Confidentiality & Discretion
- Maintain strict confidentiality regarding the principal, family members, residence, schedules, visitors, activities, and personal information.
- Handle sensitive matters with maturity, discretion, and professionalism.
- Maintain appropriate boundaries while developing a trusted and professional relationship with the principal and family.
Requirements
- Minimum 10 years of experience as a House Manager, Butler, Residence Manager, Personal Assistant, Hotel Butler, Executive Butler, or similar position.
- Experience working for high-net-worth individuals, VIP families, private residences, luxury hotels (minimum 5 stars hotel), or executive households is highly preferred.
- Strong understanding of household operations and high-level hospitality standards.
- Proven ability to supervise household staff and coordinate multiple service providers.
- Excellent communication and interpersonal skills.
- Highly organized, detail-oriented, proactive, and service-minded.
- Mature personality with strong judgment and problem-solving abilities.
- High level of integrity, discretion, confidentiality, and trustworthiness.
- Professional appearance and excellent personal presentation.
- Flexible and willing to work according to the principal's schedule when required.
- Good English communication skills would be an advantage.
