Job summary

Shelter Restaurant is seeking a detail-oriented Kitchen Admin to support the administrative and operational functions of our Kitchen Department. The role focuses on maintaining kitchen documentation, inventory and purchasing administration, and generating reports in a fast-paced restaurant environment.

You will work closely with the Executive Chef and various departments to ensure timely and accurate administrative processes, data management, and compliant reporting.

Qualifications

  • 1–3 years of experience in kitchen administration, F&B admin, purchasing, inventory, or similar roles.
  • Diploma or Bachelor's in Hospitality, Business Admin, or related field encouraged.

Job description

Shelter Restaurant is seeking a detail-oriented and organized Kitchen Admin to support the administrative and operational functions of our Kitchen Department.

This role is responsible for maintaining kitchen documentation, supporting inventory and purchasing administration, preparing reports, coordinating with internal departments, and ensuring accurate and timely administrative processes. The ideal candidate is highly organized, detail-oriented, comfortable working with numbers and documentation, and able to work closely with the kitchen team in a fast-paced restaurant environment.

Key Responsibilities

Handle daily administrative tasks and documentation for the Kitchen Department.

Prepare, organize, and maintain kitchen-related records and reports.

Ensure all kitchen documentation is accurate, updated, and properly filed.

Assist the Executive Chef and kitchen management team with administrative requirements.

Maintain confidentiality of operational and business information.

2. Inventory & Stock Administration

Assist with daily and periodic inventory processes for food, beverages, and kitchen supplies.

Maintain accurate stock records and inventory documentation.

Assist in monitoring stock levels and identifying shortages or discrepancies.

Coordinate with the kitchen team regarding stock requirements and usage.

Support stocktaking and reconciliation processes when required.

3. Purchasing & Receiving Coordination

Prepare and organize purchase requests based on kitchen requirements.

Coordinate with Purchasing and suppliers regarding orders and deliveries.

Follow up on outstanding orders and ensure timely delivery.

Assist with checking receiving documents and ensuring quantities and items are properly recorded.

Maintain purchasing and receiving records for reference and reporting.

4. Reporting & Data Management

Prepare daily, weekly, and monthly kitchen administrative reports.

Input and maintain accurate data related to inventory, purchasing, receiving, and kitchen operations.

Assist in compiling data for food cost and operational reports.

Identify discrepancies in records and coordinate with relevant teams for clarification.

Maintain organized digital and physical filing systems.

5. Cross-Department Coordination

Liaise with Kitchen, Purchasing, Finance, HR, and Operations to support daily requirements.

Coordinate administrative requests and ensure timely follow-up.

Support communication between the kitchen team and other departments.

Assist with documentation required for internal meetings, audits, and operational reviews.

6. SOP & Compliance Support

Support the implementation and maintenance of kitchen administrative procedures and SOPs.

Ensure required documentation is completed according to company standards.

Assist in maintaining records related to food safety, hygiene, and operational compliance.

Support the kitchen team in preparing documentation for inspections or audits when required.

7. General Support

Provide administrative support to the Executive Chef and Kitchen Management Team.

Assist with scheduling, meeting coordination, and preparation of operational documents when required.

Support kitchen-related projects and initiatives.

Perform other administrative duties as assigned.

Requirements
1. Experience & Background

Minimum 1–3 years of experience in kitchen administration, F&B administration, purchasing, inventory, or a similar role.

Previous experience in a restaurant, hotel, or hospitality environment is highly preferred.

Diploma or Bachelor's degree in Hospitality, Business Administration, or a related field is an advantage.

2. Administrative & Technical Skills

Strong administrative and organizational skills with excellent attention to detail.

Proficient in Microsoft Office, especially Excel, and Google Workspace.

Comfortable working with numbers, data entry, reports, and documentation.

Experience with inventory, purchasing, or stock management is an advantage.

3. Communication & Coordination

Good communication skills in English, both written and spoken.

Able to coordinate effectively with Kitchen, Purchasing, Finance, and other departments.

Professional and clear when communicating with internal teams and suppliers.

4. Personal Attributes

Highly organized, detail-oriented, and dependable.

Proactive and able to follow up on tasks independently.

Strong sense of responsibility and accuracy.

Able to manage multiple priorities in a fast-paced environment.

Willing to learn and adapt to changing operational requirements.
