This position is a Executive Assistant with General Affairs responsibilities, supporting senior leadership while overseeing office administration and workplace operations
What you´ll do
Calendar & ScheduleManagement
- Manage and coordinate executive calendars,appointments, and meetings.
- Arrange internal and external meetings,including preparation of meeting agendas and materials.
- Coordinate business travel arrangements,including flights, accommodation, transportation, visas, and travelitineraries.
- Monitor deadlines and follow up on actionitems.
Communication Management
- Screen and prioritize emails,correspondence, and phone calls.
- Prepare business correspondence,presentations, reports, and meeting minutes.
- Act as a liaison between executives andinternal/external stakeholders.
- Maintain confidentiality of sensitivebusiness information.
- Prepare internal announcements for CountryPresident
- Support Corporate Communications forIndonesia
Meeting & EventCoordination
- Organize leadership meetings, town halls,and management reviews.
- Prepare presentation materials and meetingdocumentation.
- Track and monitor follow-up actions fromleadership meetings.
Administrative Support
- Manage filing systems and executive records.
- Support document preparation, approvals, andsignatures.
- Assist with expense claims and budgettracking for executives.
General Affairs Duties
Office Administration
- Manage daily office operations andadministrative activities.
- Ensure office facilities are maintained andoperating effectively.
- Coordinate office supplies, stationery,pantry, and workplace services.
- Monitor office cleanliness, security, andmaintenance standards.
Facilities Management
- Coordinate building maintenance and repairactivities.
- Manage relationships with landlords,building management, and facility service providers.
- Ensure compliance with health, safety, andsecurity requirements.
- Support office relocation, renovation, andworkspace optimization projects.
Vendor & ContractManagement
- Manage contracts and relationships withoffice vendors and service providers.
- Obtain quotations, negotiate costs, andmonitor vendor performance.
- Process purchase requests, purchase orders,and invoices.
- Ensure timely renewal of service agreementsand licenses.
Employee Services
- Support onboarding activities for newemployees.
- Coordinate company vehicles, parkingarrangements, and visitor management.
- Manage employee welfare programs and officeservices.
- Assist employees with general administrativeinquiries.
Corporate Events
- Organize company events, employee engagementactivities, training sessions, and celebrations.
- Coordinate logistics for meetings,workshops, and conferences.
- Support CSR and community-relatedactivities.
What makes you a good fit
- Bachelor’s degree in Business Administration, Management, Secretarial Studies, Communications, Human Resources, or a related field.
- Minimum 3–5 years of experience in Executive Assistant, Office Administration, or General Affairs roles, with experience supporting senior executives preferred.
- Experience in multinational companies and working with diverse stakeholders is an advantage.
- Strong proficiency in Microsoft Office, calendar and travel management, vendor and contract administration, budget monitoring, and reporting.
- Excellent organizational, communication, multitasking, problem-solving, and interpersonal skills, with a high level of professionalism, attention to detail, and confidentiality.
