Pop Joy Indonesia seeks a proactive Admin Specialist to support daily office operations, employee services, and expatriate employee support. The role collaborates with internal departments, stores, employees, and external partners to ensure smooth administrative operations and timely employee support.
You will manage office administration, assist with onboarding/offboarding assets, and coordinate expatriate-related administration in a fast-paced multinational retail environment.
We are looking for a proactive and detail-oriented Admin Specialist to support our daily office operations, employee services, and expatriate employee support.
This role will work closely with internal departments, stores, employees, and external partners to ensure smooth administrative operations and provide timely and professional employee support.
· Manage daily office administration and operational support, including office environment, office supplies, fixed assets registration, maintenance, and inventory checks.
· Provide administrative support to stores and follow up on store-related administrative matters and cooperation agreements.
· Coordinate administrative matters and external communications with relevant parties to ensure smooth daily operations for the company and stores.
· Support other administrative and operational tasks as required.
· Manage employee assets during onboarding and offboarding processes, including asset handover and return.
· Provide day-to-day employee support and respond to basic questions regarding company policies, procedures, and employee services.
· Assist in organizing employee welfare, employee engagement, care initiatives, and company culture activities.
· Support cross-functional administrative requests, including store agreement coordination, expense reimbursement, and other employee-related matters.
· Coordinate with relevant departments to ensure employee requests are followed up and resolved in a timely manner.
· Provide administrative and employee service support for expatriate employees, including onboarding, accommodation research, document collection, and communication coordination.
· Coordinate with internal departments and external service providers to support expatriate employees throughout their employment period.
· Follow up on expatriate-related administrative matters and ensure required documents and arrangements are completed on time.
· Bachelor's degree or above in Human Resources, Business Administration, Management, or a related field.
· 2–4 years of experience in HR, Employee Services, Administration, or a similar role.
· Good organizational and communication skills with strong attention to detail.
· Strong sense of responsibility and ability to follow up on multiple tasks independently.
· Good interpersonal skills and ability to work effectively with employees from different backgrounds.
· Proficient in Microsoft Office / Google Workspace.
· Experience in supporting expatriate employees or working in a multinational company is a plus.
· Experience in retail, FMCG, or a fast-paced business environment is preferred.
· Mandarin proficiency with HSK 5
