The Workplace Systems Analyst based in Hong Kong reports locally the Head of Logistics, Security and Safety APAC and functionally to the Head of Workplace, APAC, Workplace strives to create cost effective and timely execution of initiatives while partnering with the business to enhance the employee experience and foster thoughtful and engaging workplaces.

The role focuses heavily on analyzing workplace systems, real estate data, and utilization metrics (80%) to drive strategic efficiency.Additionally, the role supports day-to-day workplace operations (20%).

Main Responsibilities:

1. Workplace System & Data Analysis (80%)

• System Administration: Serve as the primary administrator and subject matter expert for all Integrated Workplace Management Systems (IWMS), smart office technologies, and workplace platforms (e.g., desk booking, room reservation, visitor management, and space planning software).
• Data Analytics & Reporting: Collect, clean, and analyze workplace data (occupancy rates, space utilization, badge swipes, and hybrid work patterns). Create dashboards and regular reports for leadership to support data-driven decision-making regarding real estate and office footprints.
• Process Automation & Integration: Identify opportunities to streamline and optimize workplace processes. Partner with the IT department to ensure seamless integration between workplace platforms and core company systems. Use low-code platforms and automation tools to drive efficiency.
• Trend & Technology Analysis: Keep abreast of industry trends in proptech (property technology), hybrid work solutions, and smart building analytics to continuously improve the employee workplace experience.

2. Workplace Operations (20%)

• User Support & Training: Act as the super-user and internal subject matter expert, training the wider workplace team and employees on how to use workplace tools.
• Other Operations: Provide backup support that managers may assign.

Skills and Competencies

Functional Skills (Role-Critical)

• Analytical & Problem-Solving Skills: Proven critical thinking skills with the ability to translate complex data sets into logical business cases, actionable insights, and strategic "data storytelling."
• Technical Proficiency:
• Advanced proficiency in the Microsoft Office Suite (especially Excel for complex data analysis and PowerPoint for impactful presentations).
• Knowledge or hands-on experience with AI tools, VBA, Python, low-code platforms for automation, or Microsoft Project is a strong advantage.
• Clear, articulate, and persuasive written and oral communication skills, with an ability to explain technical systems to non-technical users.
• Demonstrated ability to work proactively and collaboratively in a fast-paced, deadline-driven environment.
• Ability to balance analytical desk work with hands-on operational and security tasks.

Languages:

Mandatory bilingual proficiency in English and Cantonese and/or Mandarin

Required Skills:

• Bachelor’s degree in Business Administration, Information Systems, Data Analytics, or a related field, or equivalent practical experience.
• A minimum of 1 years of experience in workplace operations and services, with a strong focus on systems administration, automation, or data analysis, preferably within the professional or financial industry.
