Job summary

Elliott Scott - HR search & recruitment is seeking a Recruiting Operations Coordinator in Hong Kong to support recruiters with end-to-end logistics and administrative workflows. You will manage interview scheduling, calendar management, candidate tracking, and communications to ensure smooth hiring processes.

The role focuses on maintaining ATS hygiene, preparing documentation, coordinating background checks, and protecting confidentiality across all candidate and internal hiring information.

Qualifications

• 1–3 years of experience in a recruiting operations, HR coordination, or talent acquisition coordination role.

Responsibilities

• Coordinate end-to-end recruiting logistics: interview scheduling, calendar management, confirmations, and rescheduling.
• Support recruiters with administrative workflows including candidate tracking, scheduling templates, and hiring status updates.
• Manage candidate communications to ensure timely, professional updates across stages.
• Prepare and maintain documentation for hiring processes (e.g., interview notes templates, scorecards, offer packets support).
• Ensure ATS hygiene and accuracy: update candidate statuses, maintain candidate records, and flag issues/duplicates.
• Partner with HR and hiring teams to gather role-related details and keep intake information current.
• Support events and campus programs (as needed), including attendance logistics and candidate follow-ups.
• Coordinate background checks and reference processes with the appropriate partners.
• Contribute to process improvement by identifying bottlenecks and supporting continuous enhancements to recruiting operations.
• Maintain confidentiality of candidate and internal hiring information at all times.
