Job summary

West Island School is seeking a visionary Senior Assistant within our Library to lead modernization of library services and drive digital innovation across the curriculum. The role focuses on academic integrity, advanced learning platforms, and elevating students' research capabilities within ESF's vibrant international community.

As a full-time Library professional, you will oversee library operations, vendor management, and LMS upkeep while supporting IB coursework tracking and citation

Qualifications

  • Bachelor's degree in a related discipline.

  • Certificate or coursework in education support or learning resources is desirable.

  • Manage vendor relationships, quotes, POs, and annual subscriptions.
  • Maintain LMS, oversee circulation workflows, and inventory checks.
  • Coordinate daily tasks for Library Assistant and volunteers.
  • Promote library initiatives, reading events, and guest speakers.

Job description

West Island School is seeking a visionary Senior Assistant within our Library to lead the modernization of our library services and drive digital innovation across the curriculum. The ideal candidate will champion academic integrity, manage advanced learning platforms, and elevate students' research capabilities within our vibrant international school community. This is a full-time support staff position with Medical, Annual Leave and MPF benefits.

The successful candidate will be responsible for driving excellence across these key areas:

Main Accountabilities
Library Operations & Resource Procurement

Select, order, catalogue, and maintain physical books, digital subscriptions, and learning resources to support school curricula and recreational reading.

Manage vendor relationships, request quotes, process purchase orders, and coordinate annual subscription renewals (including software and digital databases).

Maintain the Library Management System (LMS), oversee circulation workflows, and conduct routine inventory checks.

Coordinate day-to-day tasks and schedules for the Library Assistant and volunteers.

Promote library initiatives, reading events, and guest speakers through interactive displays and school communication channels.

Academic Integrity & Platform Coordination

Turnitin Administration: Serve as the main point of contact for Turnitin; manage user accounts, class setups, and access permissions for staff and students.

IB Coursework Tracking: Track submission pipelines for IB Extended Essays (EE) and Theory of Knowledge (TOK) coursework to ensure proper upload and originality scanning.

Report Generation: Monitor similarity reports and share flagged academic integrity cases with relevant IB Coordinators and department heads.

Work with EE and TOK Coordinators to guide students on MLA 9th edition citation guidelines and basic referencing.

Run practical student workshops on in-text citations, works-cited pages, and responsible research practices (including ethical AI use).

Help students navigate online databases, digital catalogs, and general library search tools for classroom projects

Performing other duties and assuming accountabilities as apparent or as delegated, including mutually agreed upon objectives, e.g. liaison with other schools, attending ALESS meetings.

Qualifications and Experience

Bachelor’s degree in Business Administration, Education, English, Information Studies, or a related discipline

Two plus years of experience in an educational setting is essential.

Any short certificate or coursework related to education support, administrative management, or learning resources is desirable.

Competencies and skills
Abilities

Familiarity with international curricula frameworks (IBDP/IBCP)

Basic understanding of citation formats (MLA, APA) or previous experience using Turnitin / Library Management Systems.

Knowledge

Knowledge of school's aims and objectives, students’ abilities and reading needs, Knowledge of books and non-book materials

Basic knowledge of IT systems in managing a library

Soft Skills

High-level communication and interpersonal skills to collaborate effectively with faculty heads, coordinators, and students.

Strong organizational skills to manage complex timetabling shifts for research lessons and external library events
