Job description

I. Position Overview

This role sits under the Group Management Office and works in a project-based model. The position is responsible for driving internal operational process improvement, system/tool implementation, and cross-functional efficiency projects.

You will work across key internal operation scenarios including HR, Finance, IT, Sales Operations, Customer Service, and Compliance. Through project-based execution, you will help map current workflows, identify inefficiencies and process gaps, and drive standardization, systemization, and automation.

You will act as the local execution arm for HQ's HR, IT, and Finance functions, while also managing local vendors and property services, ensuring the office runs efficiently across people, systems, finance, and regulatory dimensions.

II. Key Responsibilities

1. Internal Process Mapping and Problem Diagnosis

  • Follow up on internal efficiency projects assigned by the Management Office and deeply understand the actual workflows of business teams;
  • Interview HR, Finance, IT, Sales, Customer Service, and other teams to map out process steps, owners, inputs and outputs, approval nodes, and pain points;
  • Break down vague business problems into clear process maps, SOPs, field requirements, permission rules, and project task lists;
  • Identify repetitive manual work, inefficient handovers, information gaps, inconsistent standards, and potential risk points.

2. Project-Based Operational Efficiency Improvement

  • Drive internal operational improvement projects from requirement collection, solution design, execution tracking, UAT / testing, to post-launch review;
  • Coordinate with business teams, IT, developers, Finance, HR, suppliers, and other stakeholders to ensure projects are delivered on time;
  • Track project progress, issue lists, owners, and deliverables to make sure improvement solutions are actually adopted and used;
  • Regularly report project progress, risks, data results, and next-step recommendations to the Management Office.

3. System Tools and Automation Implementation

  • Participate in the selection, trial, deployment, and internal adoption of efficiency tools such as Lark / Feishu, OA systems, HR systems, CRM, ticketing systems, knowledge bases, and data dashboards;
  • Help convert offline processes into online forms, approval workflows, automated reminders, task assignment rules, permission management, and dashboards;
  • Explore the application of AI Agents, low-code tools, RPA, and other automation tools in internal operations;
  • Work with developers or external vendors to translate business requirements into executable system requirements and acceptance criteria.

4. Management Office Daily Operations Support

  • Support daily operations for the Hong Kong office and the Group, including HR onboarding and offboarding, IT onboarding/offboarding, employee records, asset tracking, expense review, and supplier coordination;
  • Assist Group HR, IT, Finance, Legal / Compliance teams in implementing relevant processes locally;
  • Support the Management Office in key meetings, special research projects, management reports, policy updates, and process communications;
  • In addition to project work, handle necessary office operations coordination tasks.
III. Requirements
  • Holistic Operational Mindset: Ability to view issues from HR, IT, finance, and compliance perspectives, not confined to a single function.
  • Hands-on & Learning Agility: Comfortable with basic IT/software operations and AI tools, eager to quickly adopt new systems, and capable of resolving fundamental technical issues independently.
  • Communication & Coordination: Clear written and spoken communication in both Chinese and English, able to collaborate effectively with HQ in Mainland China, local teams, and overseas colleagues.
  • Accountability & Compliance Awareness: High sensitivity and rigor when handling employee data, financial information, and legal compliance.
  • Self-motivated & Resilient: Able to proactively prioritize multiple independent tasks and adapt to project-based working rhythms.
Requirements
  • Bachelor’s degree or above, preferably in Engineering, Industrial Engineering, Information Management, Management Science, Computer Science, Human Resources, Finance, Operations Management, or related fields;
  • Fresh graduates or candidates with 1–3 years of experience are welcome;
