Position Overview
We are looking for a highly organized, proactive, and service-minded Operations Officer to keep our center running smoothly so tutors can focus on teaching and students can focus on learning.
Key Responsibilities
1. Operations Management
- Oversee daily operations of the tutorial center, ensuring efficient processes and workflows.
- Develop and implement operational policies and procedures to enhance productivity.
- Manage scheduling and coordination of admissions consultants, tutoring sessions and staff assignments.
- Monitor inventory and order supplies as needed to maintain a well-equipped center.
- Assist in budgeting and financial management, including tracking expenses and revenue.
- Greet and assist students, parents, and visitors in a friendly and professional manner.
- Answer phone calls, respond to inquiries, and manage communications via email and social media.
- Maintain an organized and welcoming reception area.
- Schedule appointments and manage the calendar for admissions consultants, tutors and staff.
- Handle administrative tasks such as filing, data entry, and maintaining student records
3. Client Relationship Management
- Build trust and long-term relationships with prospective and current families.
- Provide exceptional pre-sales and after-sales service to maximise client satisfaction and referral business.
- Coordinate trial lessons, diagnostic assessments, and consultation sessions.
- Participate in open days, school fairs, webinars, and off-site promotional events.
- Contribute ideas and content for social media, newsletters, and success stories (subject to company approval).
Qualifications & Experience
- 2+ years of experience in an administrative, operations, or coordinator role (education/tutoring/youth programs preferred but not mandatory)
- Outstanding organizational skills and attention to detail
- Strong customer service orientation with a friendly, calm, and professional demeanor
- Proficiency with Google Workspace (Docs, Sheets, Calendar), Microsoft Office, and basic CRM/scheduling software
- Excellent written and verbal communication skills (Cantonese, English, and Mandarin)
- Willing to work on Saturdays
- Ability to multitask in a busy, sometimes noisy environment
- High level of integrity when handling payments and sensitive student/family information
