We are looking for a detail-oriented and proactive Fund Operations Manager to join our Hong Kong team. This role will be responsible for end-to-end fund operations and will work closely with internal investment, finance, legal, compliance, and external service provider teams. The ideal candidate should have solid fund operations experience, strong execution capabilities, and a keen interest in applying AI and automation tools to improve operational efficiency.
Key Responsibilities
- End-to-end fund operations: Manage daily fund operational processes, including subscriptions, redemptions, capital calls, distributions, payments, and bank account administration.
- Ensure all operational activities are completed accurately, on time, and with proper documentation.
- Cross-functional coordination: Work closely with Portfolio Managers, Finance, Legal, and Compliance teams to ensure smooth execution of fund-related matters.
- Follow up on operational issues and exceptions in a timely and structured manner.
- Service provider management: Liaise with custodians, fund administrators, nominees, brokers, external auditors, and other vendors.
- Coordinate deliverables, follow-ups, and issue resolution while maintaining clear tracking records and audit trails.
- Fund setup and change events: Support new fund launches, fund amendments, supplement reviews, and operational onboarding.
- Coordinate custody, brokerage, and bank account opening processes where required.
- Operational controls and risk awareness: Maintain strong operational discipline through checklists, maker-checker controls, reconciliations, and confirmations.
- Identify, escalates, and resolves operational risks, breaks, or exceptions in a timely manner.
- Process improvement and system initiatives: Participate in system enhancement and workflow optimization projects.
- Help standardize recurring operational processes and improve overall efficiency.
- AI and automation application: Continuously explore and evaluate AI and automation use cases within fund operations.
- Apply approved AI tools to improve productivity, accuracy, and process quality, while ensuring human review, traceability, and appropriate handling of sensitive data.
- Collaborate with internal teams to pilot workflow improvements and translate successful initiatives into repeatable SOPs.
- Ad hoc support: Support additional fund operations tasks, internal projects, and business initiatives as required.
Requirements
- Bachelor’s degree in Finance, Accounting, Business, or a related discipline.
- 2–3 years of relevant experience in fund operations, fund accounting, fund administration, custody/nominee operations, or other middle/back‑office functions.
- Solid understanding of fund operational workflows. Exposure to multiple fund strategies or structures, such as private markets, hedge funds, or fund-of-funds, would be an advantage.
- Strong execution capability with excellent attention to detail, organizational skills, and the ability to manage multiple tasks under time-sensitive deadlines.
- Strong communication and stakeholder management skills, with the ability to work effectively with both internal teams and external service providers.
- Fluency in both English and Chinese is required, with strong written and verbal communication skills in English and Mandarin. Cantonese proficiency would be a strong plus.
- Strong interest in AI, automation, and digital transformation in operational contexts.
- Comfortable working with data, trackers, structured logs, and operational reporting tools; able to support data quality improvement initiatives.
