Job summary

Balfour Beatty plc in Derby is seeking a highly organised Workshop Co-ordinator to support the day-to-day operations of a busy vehicle workshop. You will work closely with the Workshop Manager, supervisors and technicians to plan maintenance, manage bookings, open and close job cards, and ensure accurate documentation and invoicing processes.

Ideal candidates will have administration or coordination experience, excellent communication skills and a proactive approach to customer service.

Responsibilities

  • Manage the workshop diary and coordinate bookings for servicing, valeting, tyres and glass repairs.
  • Open, maintain and close job cards with full documentation.
  • Be the main contact for customers via the 1link system and provide updates.
  • Raise invoices, process payments and assist with outstanding accounts.
  • Coordinate with parts to ensure availability for planned maintenance.
  • Schedule and manage MOT bookings for fleet vehicles.
  • Maintain accurate customer, vehicle and workshop records.
  • Support efficient administrative processes and compliance with safety and GDPR.

About the role

Balfour Beatty Asset & Technology Solutions is looking for a highly organised and proactive Workshop Co-ordinator to join our team in Derby.

This is a fantastic opportunity to play a key role in supporting the day-to-day operations of a busy vehicle workshop environment. Working closely with the Workshop Manager, Supervisors, technicians and customers, you will help ensure maintenance activities are planned effectively, customer requirements are met, and all workshop administration is completed accurately and efficiently.

The successful candidate will be at the centre of workshop operations, coordinating bookings, managing documentation, supporting invoicing processes and ensuring excellent customer service throughout the maintenance journey.

What you'll be doing

As a Workshop Co-ordinator, you will:

  • Manage the workshop diary and coordinate scheduled bookings, including vehicle servicing, valeting, tyre replacements and glass repairs.
  • Open, maintain and close job cards accurately, ensuring all work is fully documented and recorded.
  • Act as a key point of contact for customers, responding to enquiries and providing updates through the 1link system.
  • Raise invoices, process payments and support the management of outstanding accounts.
  • Coordinate with the parts department to ensure required parts are available for planned maintenance activities.
  • Schedule and manage MOT bookings for fleet vehicles.
  • Maintain accurate customer, vehicle and workshop records using business management systems.
  • Support workshop efficiency by ensuring administrative processes are completed in a timely manner.
  • Help ensure compliance with Health & Safety requirements, GDPR and relevant industry regulations.
  • Build and maintain positive working relationships with customers, technicians and colleagues across the business.
Who we're looking for

We're looking for an enthusiastic and detail-focused individual with excellent organisational and communication skills.

You will ideally have:

  • Previous experience in an administration, coordination or customer service role.
  • Strong planning and organisational abilities, with the capability to manage multiple priorities simultaneously.
  • Excellent verbal and written communication skills.
  • Good IT skills and confidence using business systems and Microsoft Office applications.
  • A customer-focused approach with the ability to build positive relationships at all levels.
  • Strong attention to detail and a commitment to maintaining accurate records.
  • The ability to work effectively both independently and as part of a team.
  • A proactive mindset with a willingness to support colleagues and drive operational efficiency.
  • An understanding of workshop, fleet, automotive or maintenance environments would be advantageous.
