Job summary

Birchrose Associates, representing a prestigious Top 100 London law firm, seeks an experienced Workplace Services Manager to lead the Operations team. You will oversee daily workplace operations, manage a seven-strong team, and drive health, safety and efficiency across the function.

Ideal candidates will bring leadership in facilities or operations within professional services, with IOSH/NEBOSH qualifications and IWFM as a desirable credential. This full-time role is based in London.

Qualifications

  • Leadership of in-house teams and outsourced providers.
  • Health & Safety experience and qualification (IOSH/NEBOSH).
  • Strong organisation and multi-project management in a fast-paced environment.

Responsibilities

  • Oversee day-to-day workplace services operations (mailroom, reprographics, print, records management, floor support).
  • Lead and develop a seven-person team (recruitment, training, performance).
  • Coordinate property maintenance, contractors and supplier relationships.
  • Manage supplier contracts including transcription and document production services.
  • Assist with budgets, cost reviews and service improvements.
  • Support office moves, refurbishments and workplace projects.
  • Own Health & Safety across the firm including risk assessments and fire safety.
  • Collaborate with senior stakeholders to ensure smooth operations.

Birchrose Associates is representing a prestigious Top 100 London law firm seeking to appoint an experienced Workplace Services Manager to join its Operations team.

The Firm

Our client is a prestigious, long-established London law firm with an excellent reputation in the legal market. The firm provides bespoke legal services to high-net-worth individuals, families, entrepreneurs and leading businesses, offering a friendly and collaborative working environment.

The Opportunity

The ideal candidate will be an experienced, proactive and highly organised Workplace Services Manager, responsible for overseeing the day-to-day running of workplace services and managing a team of seven. Working closely with the Head of Front of House & Workplace Services, the Workplace Services Manager will have key operational and management responsibilities, with a particular focus on Health & Safety. Duties to include:

  • Overseeing the day-to-day running of workplace services, including mailroom, reprographics, print, records management and floor support
  • Managing and supporting a team of seven, including recruitment, training and performance management
  • Coordinating property maintenance, external contractors and supplier relationships
  • Managing supplier contracts, including transcription and document production services
  • Assisting with budgets, reviewing costs and identifying opportunities to improve services
  • Supporting office moves, refurbishments and other workplace projects
  • Taking responsibility for Health & Safety across the firm, including risk assessments, fire safety and compliance
  • Working closely with senior stakeholders to ensure the smooth running of workplace services

This Workplace Services Manager position is a full-time, permanent role, working Monday - Friday 37.5 hours per week.

Requirements
  • Previous experience in a workplace, facilities or operational leadership role, ideally within a law firm or professional services environment (essential)
  • Proven experience managing in-house teams and outsourced service providers
  • Strong organisational skills, with the ability to manage multiple priorities and projects in a fast-paced environment
  • Health & Safety experience and a relevant qualification, such as IOSH or NEBOSH (essential)
  • Relevant professional qualifications, such as IWFM, are desirable
