Job summary

Huntress in London is seeking a Workplace Services Manager to lead day-to-day operations and drive continuous improvement of its workplace services. The role is hands-on, guiding a team of seven, managing key suppliers and the firm’s Health & Safety programme.

We are looking for a professional with strong people management, supplier and contract oversight, and a proven track record in facilities or operations within a professional services setting. Office-based with travel to related sites.

Qualifications

  • Experience in Workplace Services/Facilities or Operations management.
  • Experience managing internal teams and outsourced suppliers.
  • Experience in legal or professional services.
  • IOSH or NEBOSH qualification.
  • Strong leadership and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Lead a team of 7 and develop their skills.
  • Oversee mailroom, logistics, reprographics, records management and floor support.
  • Manage external suppliers, contractors and service contracts.
  • Support property and facilities services including maintenance, cleaning and security.
  • Lead Health & Safety, including risk assessments, fire safety, DSE, incident reporting and audits.
  • Develop and maintain H&S policies and emergency plans.
  • Coordinate H&S Committee and drive safety culture.
  • Support office moves, refurbishments and workplace transformation.
  • Manage supplier performance, budgets, tendering and contract negotiations.
  • Ensure service delivery and continuity across offices.
  • Collaborate with senior stakeholders across Workplace, IT, Property and Facilities.
  • Occasionally travel to Mayfair and Oxford offices.

Workplace Services Manager

Up to £65,000 | Central London | Permanent | 5 days office-based

A highly regarded London law firm is looking for a Workplace Services Manager to take the lead on the day-to-day operation and continuous improvement of its workplace services. This is a hands-on management role where you'll lead a team of 7, manage key suppliers and workplace services, and take ownership of the firm's Health & Safety programme.

What you’ll be doing
  • Leading, managing and developing a team of 7
  • Overseeing mailroom, logistics, reprographics, records management and floor support
  • Managing external suppliers, contractors and service contracts
  • Supporting property and facilities services, including maintenance, cleaning and security
  • Taking the lead on Health & Safety, including risk assessments, fire safety, DSE, incident reporting and compliance audits
  • Developing and maintaining H&S policies, procedures and emergency plans
  • Coordinating the Health & Safety Committee and driving a strong safety culture
  • Supporting office moves, refurbishments and workplace transformation projects
  • Managing supplier performance, budgets, tendering and contract negotiations
  • Ensuring excellent service delivery and continuity across the firm’s offices
  • Working closely with senior stakeholders across Workplace, IT, Property and Facilities
  • Occasionally travelling to the firm’s Mayfair and Oxford offices to support workplace operations and services
What we’re looking for
  • Experience in a Workplace Services, Facilities or Operations management role
  • Previous team management and line-management experience
  • Experience within legal or professional services
  • Strong people-management and leadership skills
  • Experience managing both internal teams and outsourced suppliers
  • Strong supplier and contract management experience
  • In-depth knowledge of Health & Safety and compliance
  • IOSH or NEBOSH qualification
  • Ability to manage multiple priorities in a fast-paced professional environment
  • Excellent stakeholder management and communication skills
