Job summary

SP Energy Networks in Hamilton International Technology Park, Blantyre, is seeking a Works Project Administrator to provide administrative and project support essential to delivering key projects.

You will coordinate onboarding, security passes, PO creation via SAP and IBUY, manage fleets, IT equipment, PPE and travel via SAP Concur, and liaise with customers and contractors to ensure smooth delivery.

Qualifications

  • Business Management or Administration qualification with SAP experience preferred.
  • Strong administration skills and proficiency in Microsoft Word, Excel and PowerPoint.
  • Excellent planning, organisational and communication skills.

Responsibilities

  • Provide broad administrative and project support to day-to-day operations.
  • Conduct health and safety walkarounds and maintain related documentation.
  • Manage onboarding, security passes, and access control for agency staff and contractors.
  • Raise Purchase Orders via SAP and IBUY for PPE, stationery and Sub Station keys.
  • Register and issue Smart Keys after verifying access authorization.
  • Order IT equipment, PPE, first aid supplies, and stationery; manage couriers and travel via SAP Concur.
  • Support call-taking during storm events and maintain office notices; act as Kadence Administrator.
  • Perform daily office inspections.

Works Project Administrator

Purpose

As a Works Project Administrator, you will be at the heart of project delivery, providing essential administrative and project support to the business.

You will build positive relationships with external customers and contractors, helping to coordinate activities, maintain effective communication and support the successful delivery of key projects.

Responsibilities

The Works Project Administrator plays a vital role in supporting the day-to-day operations of the business, providing a wide range of administrative and project support activities.

This role involves conducting office Health & Safety walkarounds and completing associated documentation, supporting the onboarding process by arranging security passes for new agency employees through access control and returning passes for leavers, and maintaining the fleet vehicle tracker while coordinating pool vehicles and requesting telematics cards for new employees.

You will monitor the Customs mailbox, review documentation and submit information to Cardinal, as well as monitor the SPT Strategic and Project Support mailboxes and action all requests. The role also includes conducting utility searches for Substation projects and coordinating additional requirements with external contractors.

Responsibilities extend to raising Purchase Orders through SAP and IBUY for PPE, stationery and Sub Station keys, you will review Smart Key authorisation certificates to ensure the correct level of access before registering and issuing Smart Keys to both internal employees and external contractors, coordinating archiving activities, including the uplift of archive boxes and confidential shredding bags.

The successful candidate will order mobile phones for SPT staff through the IT Mobile Phones Service Request process, maintain accurate records of all IT equipment and mobile phones issued and returned, order and distribute Personal Protective Equipment (PPE) and first aid supplies, and arrange stationery orders for the office.

This role also includes arranging courier collections to and from the office, booking hotel accommodation and travel through the SAP Concur travel system, maintaining printers including paper and toner supplies and arranging the collection of empty cartridges.

In addition, you will provide support call taking during storm events if required, maintain office noticeboards with alerts, fire and first aid information, act as Administrator for Kadence, and carry out daily office inspections.

What you'll bring

For this role, you will bring a Business Management or Administration qualification, with SAP experience preferred, alongside strong administration skills and experience using Microsoft Office applications, including Word, Excel and PowerPoint.

You will possess excellent planning, organisational and communication skills, with the ability to communicate effectively at all levels of the business and demonstrate a proven ability to work successfully within a team environment.

We are looking for an enthusiastic and flexible individual with good customer service skills, strong planning and organising abilities and a working knowledge of SP Energy Networks policies, procedures and working practices.

An understanding of Health, Safety and Environmental legislation is also required. You will also undertake the role of Fire Marshal, for which training will be provided.

As a minimum, you will have experience in a multi-stranded project support or coordination role, significant office administration experience and be educated to GCSE level or equivalent.

You will be computer literate and confident using the Microsoft Office suite.
