Job summary

Scale Up Philippines, a UK-based property education business, seeks an Operations Administrator & Webinar Chat Support Specialist. You will manage student records, enrollments, and CRM data, coordinate live webinars, and provide real-time chat support to attendees.

You will also handle email marketing, follow-ups, and event logistics, ensuring a smooth customer journey and high-quality service across all touchpoints.

Qualifications

• Minimum 2 years experience in operations, administrative support, customer service, or a related role.
• Proven experience handling customer inquiries through email, inbound and outbound calls, and live chat support.
• Strong proficiency with HubSpot, Kajabi, and Monday.com (required).
• Experience maintaining CRM databases, documenting customer interactions, and managing follow-up activities.
• Familiarity with webinar platforms such as Zoom, GoToWebinar, WebinarJam, or similar tools.
• Excellent written and verbal English communication skills, with a clear and professional phone manner.

Responsibilities

• Manage and update student records, course registrations, and Academy member information in HubSpot and Kajabi.
• Coordinate event logistics for live webinars using Monday.com, including scheduling, reminder emails, and post-event follow-ups.
• Process course enrollments, manage access to digital content, and troubleshoot technical access issues.
• Maintain organized records of attendee data, registration lists, and participant engagement metrics.
• Support the team with calendar management, meeting coordination, and general administrative tasks.
• Prepare and distribute webinar materials, handouts, and follow-up resources to participants.
• Assist with email marketing campaigns and promotional communications for events and courses through HubSpot.
• Maintain accurate documentation, reports, and operational records to support daily business activities.
• Escalate complex customer concerns and technical issues to the appropriate teams.
• Provide real-time chat support during live webinars and manage attendee questions efficiently.
