Job summary

The Shrewsbury and Telford Hospital NHS Trust is recruiting a clerical/administrative assistant to join the Neonatal Unit on a part-time basis (26 hours per week).

The successful candidate will handle telephone enquiries, filing, booking appointments and general admin tasks, with training provided. You will work with a friendly team to support patients and families, while maintaining high standards of care and data accuracy.

Qualifications

  • NVQ Level 2 and 3 in Business Administration are required or willingness.
  • Experience with hospital administration systems.
  • Good IT skills and ability to work under pressure.
  • Experience dealing with the general public.

Responsibilities

  • Provide clerical, administrative and IT support to medical and nursing staff.
  • Receive and welcome patients and visitors; check records and prepare notes.
  • Answer telephone calls and relay information.
  • Arrange and collect notes and X-rays as needed.
  • Support signposting and information services for families.

An exciting opportunity has arisen to join our dynamic team within the Neonatal Unit.

The successful applicant will need to have experience dealing with the general public; they will have good IT skills and remain calm under pressure in this challenging role. A good telephone manner, confidence and a positive helpful manner is essential. Duties will include answering the telephone, filing, booking appointments and help with signposting parents and visitors.

Full training will be provided for the successful candidate.

Main duties of the job

The postholder will be expected to provide clerical, administrative and information technology support to medical, nursing and other staff in relation to the patients being cared for within the Unit.

  • Receive/welcome new patients onto the ward, checking particulars on their records and ensuring notesare inorder.Ensureidentitybracelets availablefornursingstaff.Compilesetsofrequiredblank documentation for emergency patients.
  • Receive/welcomevisitorsontotheWardandinformSister/ChargeNurseordeputyofanyquerythey may have. Answerthetelephone,respondingtoquestionsorrequestsas appropriate. Requesttheservicesofalliedhealthcareprofessionalsasrequestedbynursingstaff(eg Phlebotomist/ECGTechnician/Radiographers/Porters).
  • NotifyPathologyofurgentbloodspecimenswhenrequestedbynursing staff.
  • Requestandcollect(ordeliverwhenrequested)notesandx-raysfromvarious departments.

Our Service will relocate to The Royal Shrewsbury Hospital in 2028 as part of HTP. This move will bring specialist services together in a modern, purpose-built facility to improve patient care and team experience.

We are actively recruiting, and successful candidates will be expected to move with the Service in early 2028. The relocation will follow a formal management of change process, including full consultation and support for staff.

Qualifications
  • Possess or be willing to undertake NVQ Level 2 & 3 in Business Administration
Knowledge
  • Evidence of effective verbal- face to face / telephone, non-verbal, written communications skills.
  • Knowledge of hospital administration system
