VIP Events Coordinator - Manchester & Birmingham (12 month FTC)
Job Introduction

Key Purpose:

As a VIP Event Co-ordinator, you will support a programme of exclusive, market-leading events, projects, and customer engagement strategies for our VIP customers across regional stores. Your role will ensure our customers receive personalized service, extraordinary experiences, and tailored communications across all touchpoints.

You will manage multiple projects simultaneously, coordinate with various stakeholders, and work closely with the central and regional events teams to deliver events that retain existing elite customers and attract new VIP clients.

You should be proactive in pushing boundaries to maintain Selfridges' position as a leader in VIP experiences. Excellent communication skills are essential to keep everyone informed and engaged throughout the process.

Role Scope:

Assist the Senior VIP Event Manager in creating innovative, effective, market-leading events and experiences aligned with business priorities. Conduct research, develop, and produce projects that enhance engagement with VIP customers.

Key Responsibilities:

  • Support the Senior VIP Event Manager in curating and delivering strategic communications, events, and experiences for VIP customers in Manchester and Birmingham.
  • Collaborate with the team to support and execute VIP events to high standards.
  • Track and document VIP events, including RSVPs, attendance, feedback, and outcomes.
  • Brief VIP event communications for newsletters.
  • Manage costing and budgeting, including raising PO’s, tracking invoices, and reconciling budgets.
  • Communicate project details to stakeholders, create Project Packs, develop agendas, timelines, and critical paths.
  • Build and maintain strong relationships across the business and with external partners and suppliers.
  • Coordinate between VIP and regional Personal Shopping teams through regular meetings.
  • Negotiate with vendors and draft contracts with support from the legal team.
  • Ensure all reporting is current, including post-event reviews.
  • Support research and presentation materials for projects.
  • Ensure all events comply with Health and Safety, Security, GDPR, and data security standards.
  • Brief Graphics and Creative teams for event collateral and builds.
  • Support live event execution, including setup, staffing, hosting, and production.
  • Manage client relationships throughout projects.
  • Experience in event production and communication, preferably in luxury retail.
  • Ability to network and develop internal/external contacts across functions.
  • Excellent written, presentation, planning, and organizational skills.
  • Strong time management in a fast-paced environment.
  • Deep understanding of VIP customer needs.
  • Passion for delivering innovative and exciting projects.
