Job summary

CVS Vets in Portsmouth is seeking a proactive receptionist to join our busy small animal practice within Harbour Veterinary Group. You will manage calls, appointments and client queries, while handling payments and insurance forms with care.

Ideal candidates will have experience in fast-paced reception roles, strong organisational skills and confidence with practice management software. The role requires on-site work and professionalism under pressure.

We are a small animal practice located in Drayton that joined the Harbour Veterinary Group in 2018. Our practice is easily accessible, has disabled access and on-site parking.

Alongsideour facilities and specialist equipment,our friendly and experienced veterinary teamprovidethe highest quality of veterinary care,surgeryand treatment – along with regular check-ups and routine procedures.

Our clients have access to referral services in cardiology, keyhole surgery, orthopaedic surgery, soft tissue surgery and ophthalmology at our hospital in Portsmouth.

Our team at Harbour Veterinary Group are passionate and take pride in their work, always putting the wellbeing of their patients first.

About the Role:
  • Handle incoming calls and schedule appointments efficiently in a busy environment
  • Respond to customer queries via phone, email, and in-person interactions with professionalism. Ensuring that every client feels welcomed and valued at our practice
  • Process and manage insurance forms adeptly, following relevant training
  • Process payments accurately and efficiently
  • Provide empathy and understanding to clients during distressing times, while maintaining professionalism
  • Organise patients using the in-house system efficiently
  • Liaise with veterinary practices to address patient needs and queries
  • Make necessary phone calls regarding debts, belongings, and refunds
Who We're Looking For:
  • Previous experience working in a busy, fast-paced customer-facing environment.
  • Recent experience in settings such as a GP surgery, medical practice, healthcare reception, hotel reception, or similar administrative role.
  • Strong administrative skills with the ability to manage a high volume of tasks accurately and efficiently.
  • Confident using computer systems and able to quickly learn and navigate a practice management system.
  • Excellent organisational skills and the ability to prioritise workload effectively.
  • Strong communication and customer service skills, with a professional and welcoming approach.
  • Ability to work independently and take ownership of reception responsibilities.
  • You will be required to manage reception single-handedly, so confidence working alone is essential.
  • Experience in animal care is valued; however, candidates should also demonstrate relevant reception and administrative experience
