Job summary

CVS Vets Harrogate is looking for a Veterinary Receptionist to welcome clients and support our team across two sites, Leeds Road and Ripon Way.

You’ll manage calls, book appointments, handle insurance and payments, dispense meds when required, and use the in-house system to coordinate care while delivering empathetic, professional service to pets and their owners.

Qualifications

• Experience as a Receptionist or in client-facing roles.
• Ability to handle emotional situations with kindness.
• Strong communication and empathy.
• Proficiency with Microsoft Office and databases.

Responsibilities

• Manage incoming calls and appointment bookings.
• Greet and register clients.
• Process insurance forms and payments.
• Dispense medications as required.
• Use the in-house system to coordinate patient care.
• Liaise with veterinary practices as needed.
• Provide supportive, empathetic client care.
• Handle debt and refunds calls.
• Support cross-site operations.

Role Details:

• Location: To be based across our two sites; Leeds Road practice and Ripon Way Hospital
• Contract: Permanent
• Hours: 40 hours per week
• Shift Pattern: Monday - Friday on a varied shift pattern between the hours of 08.00 - 19.00

About the Role:

• Manage Communication: Handle incoming calls and schedule appointments efficiently
• Inquiries Resolution: Respond to queries via phone, email, and in-person interactions with professionalism
• Client Reception: Greet and register new clients, ensuring a warm welcome
• Insurance Management: Process and manage insurance forms adeptly
• Medication Distribution: Dispense medications as required
• Financial Transactions: Process payments accurately and efficiently
• Emotional Support: Provide empathy and understanding to clients during distressing times, while maintaining professionalism
• System Utilisation: Organise patients using the in-house system efficiently
• Inter-practice Communication: Liaise with veterinary practices to address patient needs and queries
• Debt and Refund Management: Make necessary phone calls regarding debts, belongings, and refunds
• Client Care: Above all, ensure that every client feels welcomed and valued at our practice

Who We're Looking For:

• Previous experience as a Receptionist or in a demanding, client-focused role is a must; experience in a veterinary setting is a bonus!
• Resilience and the ability to handle emotional situations with kindness and professionalism
• Strong communication skills paired with genuine empathy
• Outstanding customer service skills and experience with the public
• Positive attitude and superior teamwork abilities
• Proficiency in Microsoft Office and database systems
