Job Description:
A new opportunity has become available for a Treatment Coordinator / Assistant Manager to join an established practice located in North London (N16). Start date – as soon as possible.
This is a progressive role and will lead to a practice management position within 6 months.
The position is 4 days per week, Monday – Thursday, from 9am to 6pm.
Suitable candidates must have previous experience as a Treatment Coordinator. Salary: £35k.
Main purposes of the job:
- Create a positive patient experience.
- Manage public relations and patient relationships.
- Handle marketing, advertising, and patient recall.
- Assist the practice manager and monitor staff performance.
Key responsibilities of TCO:
- Meet new patients, discuss treatment options before seeing a dentist, and build rapport.
- Follow up after dental appointments, schedule future visits, process payments, and discuss consent.
- Maintain accurate records of patient interactions.
- Be available to discuss treatments with patients.
- Arrange finance options and calculate payments in the best interest of the clinic and patients.
- Manage a conversion table to track patient consultations and conversions.
- Handle calls, discuss options, and book appointments via the computer system.
- Contribute to marketing and advertising efforts, including social media and adverts.
- Host open evenings and discuss treatments with clients.
- Monitor and carry out patient recalls at appropriate intervals.
- Take before-and-after photos of patients.
- Record patient interviews and request testimonials.
- Oversee the appointment book for optimal use of time.
- Ensure receipts are issued and financial records are accurate.
- Complete patient administration correctly.
- Assist in reception duties when needed.
- Monitor local marketing initiatives and patient feedback.
- Handle patient complaints from initial report to resolution.
- Maintain current and accurate patient records.
- Ensure patients failing to recall are identified and addressed.
- Ensure patient accounts are settled promptly.
- Liaise with the Practice Manager and perform assigned tasks.
- Manage staff schedules, holidays, sickness, and employment matters.
- Coordinate with the Marketing Manager regarding the website and social media platforms.
- Supervise dental nurses and receptionists, ensuring task completion and compliance.
- Conduct stock takes and manage ordering.
- Handle patient complaints and liaise with relevant team members.
- Organize monthly practice meetings and weekly manager meetings.
- Ensure staff CPD and training are up to date.
