Position Title: Transactions Assistant
Location: Dundee, Scotland (Hybrid Working)
Employment Type: Full-Time, Temporary (35 hours per week)
Salary: Competitive Salary £15.45 – £16.45 per hour
About the Role: ASA Recruitment is excited to support our client, in their search for a diligent and detail-oriented Transactions Assistant. This role is a key part of the Finance & Corporate Governance department’s shared services function.
Key Responsibilities:
· Input purchase invoices into the financial system.
· Ensure ledger codes attached to purchases are consistent and accurate.
· Raise purchase orders in the financial system.
· Ensure receipting of goods and services is carried out promptly.
· Reconcile supplier statements to the financial system, liaising with suppliers if necessary.
· Follow established payment and purchasing procedures.
· Assist with year-end procedures within the timescales agreed with the Transactions Manager.
· Maintain filing and tracking systems.
· Undertake any appropriate work to assist the transactions team within the department as and when required.
· General ad-hoc administrative tasks as required.
Qualifications and Skills:
· Educated to Standard Grade Level or equivalent.
· Good knowledge and experience of using Microsoft Word and Excel.
· Understanding of financial controls and financial environment.
· Previous administrative experience.
· Excellent telephone and customer service skills.
· Concise and clear oral and written skills.
· Effective organisational skills and time management to meet deadlines and achieve targets.
· Strong numerical and analytical skills with attention to detail.
· Active listening skills, questioning and checking understanding, and taking appropriate and considered action.
· Adaptability to change, adjusting priorities as required.
· Tolerance and fairness towards others, valuing diversity and being non-discriminatory in actions.
· Valuing and utilising the skills, knowledge, and experience of others.
· Working co-operatively and supportively with others.
Desirable Skills:
· Experience of working with external/internal contacts at all levels.
· Experience of working with Oracle/SEAS financial system.
· Ability to understand the limits of their knowledge and experience and knowing when decisions need to be referred to others.
Working Conditions: Our client offers hybrid working with an expectation that 40% of each employee’s time will be spent in face-to-face collaboration. For this role, there is a requirement to attend the Dundee office in person 2 days per week. Typical working hours are 9am to 5pm, with flexible working available.
Contract Details:
· Starting mid-August 2024
· Ending 31 March 2025, with an option to extend for a further 2 x 3 month periods
