Job summary

Hymans Robertson in Glasgow seeks a Trainee Pensions Administrator to join the Client Services team across Birmingham, Edinburgh or Glasgow offices. You will gain hands-on experience across pension administration tasks while studying towards a relevant professional qualification.

Key responsibilities include maintaining member records on UPM, processing events and benefit payments, logging calls, producing reports, and supporting client-specific activities.

Qualifications

  • GCSE/Scottish Standard Maths & English at Grade B or above
  • Strong numerical and analytical skills
  • Good organisational skills and ability to manage workload under pressure
  • Experience in an administrative role
  • Clear communication skills, both written and verbal
  • Understanding of customer service and professional phone communication

Responsibilities

  • Maintaining and updating member records on the UPM system and processing member events
  • Recording notes of telephone conversations and logging them
  • Completing basic calculations and processing benefit payments
  • Carrying out processes timely with high-quality outputs
  • Providing a professional service to enquiries from members, clients and third parties
  • Maintaining scheme cashbooks and reconciling bank statements

The Vacancy

Our Third Party Administration (TPA) department is a dynamic administration team with a varied portfolio of clients. The team plays a key role in delivering a market-leading service to clients and members across Defined Benefit (DB), Defined Contribution (DC) and CARE pension arrangements.

An exciting opportunity is available to join this department as a Trainee Pensions Administrator within the Client Services team in our Birmingham, Edinburgh or Glasgow office.

What will the role involve?

This role offers the opportunity to work closely with experienced colleagues to develop knowledge and skills while supporting a range of client and member needs. The successful candidate will gain hands‑on experience across a variety of pension administration tasks and processes, whilst being fully supported in studying towards a relevant professional qualification.

Key Responsibilities Include
  • Maintaining and updating member records on the Universal Pensions Management system (UPM) and processing member events, including retirements, deaths, joiners, early leavers, transfers in/out and illustrative quotations.
  • Recording accurate notes of all telephone conversations and logging them on the system.
  • Completing basic calculations and processing benefit payments.
  • Carrying out processes in a timely manner, ensuring high-quality outputs.
  • Providing a professional and supportive service when responding to enquiries from members, clients and third parties.
  • Maintaining scheme cashbooks and reconciling bank statements.
  • Producing reports from administration systems.
  • Supporting client-specific activities, such as preparing benefit statements.
  • Assisting with additional projects as required.
  • Studying towards a relevant professional qualification.
  • Continuously developing technical knowledge and skills.
  • Escalating complex queries, exceptions and errors to the Team Leader and technical specialists where appropriate.
  • Ensuring work is completed in line with Business Unit guidelines, procedures, quality standards and service levels.

Please note that, as part of the recruitment process, candidates will be required to complete a maths and writing exercise.

What’s required to succeed in this role?
  • GCSE / Scottish Standard (or equivalent) in Maths and English at Grade B or above.
  • Strong numerical and analytical skills.
  • Good organisational skills, with the ability to manage workload and work under pressure.
  • Experience working within an administrative role.
  • Clear and concise communication skills, both written and verbal.
  • An understanding of customer service and the ability to communicate professionally by phone.
  • A collaborative approach to working within a team.
  • Good IT skills, including experience with Microsoft Office applications.
