Job summary

House of Trade NE LTD in Newcastle upon Tyne is seeking a friendly and proactive Trade Customer Service Assistant to support trade customers, showroom and office operations. You will handle calls, take orders, process invoices and liaise with suppliers, while delivering excellent service.

The role offers hands-on experience with Xero and multiple online portals. A two-week paid trial precedes formal confirmation, followed by a six-month probationary period in the employment contract.

Responsibilities

• Answer trade customer enquiries via calls in a friendly and professional manner.
• Take customer orders over the phone and via WhatsApp.
• Process orders accurately and efficiently through company ordering systems and supplier portals.
• Learn and adapt to different online ordering portals and systems.
• Prepare and processing customer invoices using Xero.
• Handle customer queries, resolve problems and provide practical solutions.
• Provide excellent customer service and build positive relationships with trade customers.
• Ensure trade discounts are applied correctly in line with procedures.
• Process refunds and exchanges in accordance with company policies.
• Calculate and apply delivery charges accurately.
• Check orders for pricing, products and customer details accuracy.
• Liaise with suppliers and team as required.
• Keep customer records and paperwork organised and up to date.
• Follow procedures for orders, discounts, refunds, exchanges and deliveries.
• Use initiative and work independently and as part of a team.
• Maintain a clean showroom and workplace, including general cleaning duties.
• Support general administrative and showroom duties as required.
• Stay flexible and adapt to changing priorities during busy periods.
