Job summary

CB&I Asset Solutions is seeking a TMS Co-ordinator to manage training matrices, bookings, and change control. You will liaise with logistics teams to arrange training and travel while ensuring compliance with processes.

The role requires knowledge of CMS/TMS systems, MS Office, and a pro-active, detail‑oriented mindset within a high-regulation environment. Hybrid working applies, with office presence expected three days a week.

Qualifications

  • Knowledge of Training Management Systems and booking in a similar role.
  • Working knowledge of Microsoft Office tools, Excel, SkillsVX Software or other CMS/TMS systems.
  • Knowledge of Oil and Gas Industry or other highly regulated industries.

Responsibilities

  • Proactively manage coordination of training matrices and ad hoc requests.
  • Book relevant training items and travel with logistics teams.
  • Implement and maintain Change Management, deviations and risk assessments.
  • Act as Super User/Admin of training systems and maintain data integrity.

JOB TITLE: TMS COORDINATOR
KEY RESPONSIBILITIES:
  • Proactively manage coordination of training matrices and Adhoc requests in line with Client training requirements and contract scope of work.
  • Booking of relevant training items and any associated travel requirements through engagement with the relevant logistics teams.
  • Implement and Maintain Management of Change, deviations and risk assessments aligned to company processes and procedures.
  • Apply knowledge and expertise from TMS service delivery in international geographic areas
  • Identify areas for improvement whilst applying processes that ensure a Clean Consistent and Compliant standard of system housekeeping.
  • Ensure work is carried out in line with Key Performance Indicators (KPIs).
  • Develop, maintain and adhere to departmental and Client processes.
  • Ensure a team approach with other TMS and CMS team members adhering to, and improving upon, the standardized processes and ways of working.
  • Collate, review and issue reports as per agreed frequency in line with company, client and project requirements
  • Management of shared inbox, escalating as required.
  • Provide support for wider team with day-to-day activities and improvements.
  • Ensure accurate compliance checks are completed to ensure validity and authenticity of certification received.
  • Super User/Admin of Competence & Training System, acting as Subject Matter Expert and focal point for all maintenance, development, implementation and improvements.
  • Develop relationships with any in country personnel, support their development in both Training Management and system usage.
  • TMS Focal Point for training and personnel data, questions and queries
  • Support Internal and External audits, providing responses to information requests.
  • Ensure accurate documenting and recording of bookings, including costs, and provide up to date information against client budget.
  • Support transition and implementation plans, ensuring any actions are met in accordance with due date.
  • Take accountability for tasks and completion of projects.
  • Take personal responsibility for safety and adhere to Petrofac's life saving rules.
  • Comply with all relevant CB&I Health, Safety & Environmental (HSE) policies and procedures where appropriate.
  • Actively participate in, and support, all CB&I HSE plans, initiatives and improvements.
  • 'Live' our CB&I Values and apply them in day-to-day work.
ESSENTIAL QUALIFICATIONS AND SKILLS:
  • NC or equivalent in Business Administration or other relevant qualification. (desirable)
  • Knowledge of Training Management Systems and booking or in a similar role.
  • Working knowledge and experience of Microsoft Office tools, excel, SkillsVX Software or other CMS and TMS systems.
  • Knowledge of Oil and Gas Industry (or other highly regulated/safety focused industry).
  • Good working knowledge and expertise in the management of training in high-risk industries.
  • Ability to work autonomously on own initiative.
  • A proactive attitude and aptitude for taking on tasks with attention to detail.
  • Ability to work as part of a diverse, multi-cultural team and have consideration of other cultures.
  • Ability to organise and prioritise workload.
  • Ability to understand and work within new systems quickly.
  • Continuous improvement mind set and application.
  • A confident decision maker, having the ability to evaluate a situation and review all possible outcomes before implementing a solution.
