Do you want to make a difference?
Here at Eastleigh Borough Council we are committed to making a positive difference for all the residents, businesses and visitors to Eastleigh and we are proud to be delivering on our promise to create sustainable and healthy communities and increase employment and wellbeing opportunities for all. To help us achieve our ambitious strategy, we are looking for a commercially focused and innovative Depot Manager to join the team.
The role
To provide a high-level technical administration function for the Waste, Recycling and Fleet service area, supporting the effective management of complex administration and communication requests. Maintain accurate technical service data from various sources and operational systems and third parties to produce accurate, timely and legally compliant responses. To act as a key point of coordination between departments and ensuring service priorities are met.
Your Activities Will Include
- Act as a senior administrative and technical point of contact for complex FOI, EIR, MP, elected member, complaint and escalated customer enquiries relating to the service area.
- Triage and progress enquiries and requests through the relevant case management systems, ensuring statutory and corporate deadlines are met.
- Collate, analyse and interpret technical and service data from relevant operational sources to inform accurate responses for insurance cases.
- Draft and assess clear, evidence-based and customer-focused responses to FOIs, MP enquiries, member enquiries and complaints whilst considering accuracy, tone, completeness, supporting evidence and working in line with data protection considerations and compliance with relevant legislation and council procedures.
- Maintain robust records of decisions, evidence, correspondence, response approvals and learning actions to provide a clear audit trail.
- Support the identification of trends, recurring complaints, service risks, data gaps and improvement opportunities, escalating matters to managers where appropriate.
- Prepare performance information, briefing notes, case summaries and reports for managers, senior officers, elected members and other stakeholders as required.
- Provide guidance to colleagues on administrative standards, case handling processes, information gathering, record keeping and response preparation.
- Contribute to the development and continuous improvement of procedures, templates, workflows and guidance for FOIs, MP enquiries, complaints and technical service correspondence.
- Ensure strict confidentiality is maintained and that all personal, sensitive and commercially confidential information is handled in accordance with data protection requirements and council policy.
- Use judgement to resolve day-to-day casework issues independently, escalating only complex, high risk, politically sensitive or legally significant matters to the appropriate manager.
- Support service resilience by providing cover for related administrative tasks relating to Waste, Recycling and Fleet functions and by assisting with priority work during periods of high demand.
About You
- Significant experience in an administrative, case management, complaints, information governance or technical service support role.
- Good working knowledge of FOI, EIR, data protection principles, complaints handling and corporate response standards.
- Ability to interpret technical data, service records and operational information and translate this into clear written responses.
- Excellent written communication skills, with the ability to produce accurate, professional and sensitive correspondence for customers, MPs, elected members and senior officers.
- Strong organisational skills with the ability to manage competing priorities, meet deadlines and maintain accurate audit trails.
- Experience of preparing responses to FOI, EIR, MP, elected member, complaint or other formal enquiries.
- Experience using Microsoft 365, case management systems, spreadsheets, databases and shared records systems to manage and report information.
- Experience of working with operational teams, contractors, managers, councillors, MPs or external partners to obtain and verify information.
- Experience of identifying trends, service learning, issues or process improvements from complaints and enquiry data (desirable)
- Experience of providing guidance, coaching or quality assurance to colleagues on case handling or administrative processes. (desirable)
