Are you a highly organized professional with a passion for providing top-tier support? A renowned architectural firm in Central London is seeking a Team Coordinator to join their vibrant team. This hybrid role offers the chance to work with some of the best architects in the industry while enjoying a supportive and welcoming environment.

This is a permanent, full-time position reporting directly to the Project Director. You’ll provide essential support to a talented team of 35 architects and play a critical role in the firm’s mission to deliver exceptional architectural projects.

Key Responsibilities

As a Team Coordinator, you’ll ensure the smooth operation of projects by managing a variety of administrative tasks, including:

  • Diary & Inbox Management: Organizing schedules and managing email communications.
  • Project & Meeting Support:
  • Arranging meetings, booking venues, refreshments, and equipment
  • Preparing agendas, presentations, minutes, and reports
  • Setting up internal design and technical reviews
  • Document Management:
  • Maintaining the document system to ensure accuracy and accessibility
  • Formatting project materials including letters, memos, and certificates
  • Assisting with design reports using Adobe InDesign, such as importing images and proofreading text
  • Travel & Logistics:
  • Arranging travel, accommodation, car hire, and visas
  • Organizing couriers and deliveries
  • General Administration:
  • Supporting holiday and absence management
  • Preparing expenses and raising PO numbers
  • Acting as a backup for the Director’s PA and other team members

About You

We’re looking for someone proactive, highly organized, and detail-oriented. You’ll thrive here if you’re adaptable, enjoy working in a fast-paced environment, and can confidently take initiative.

Ideal Skills & Qualifications:

  • Proven experience in a team support or administrative role
  • Educated to A-Level standard or similar
  • Advanced IT skills, including Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Knowledge of Adobe InDesign and Photoshop (preferred)
  • Fast, accurate touch typing (minimum 60wpm)

You’ll be comfortable handling shifting deadlines, using excellent multitasking abilities, and keeping a cool head under pressure. Our collaborative operations team will provide a supportive and encouraging atmosphere to help you succeed.
