Team Administrator, Building Consultancy (Part Time, Maternity Cover) (Birmingham)

Role Overview

We are seeking an Administrator to join our dynamic team on a part-time basis, providing essential support to our Building Consultancy department. This is a great opportunity for someone eager to work in a collaborative and supportive environment.

The ideal candidate will be enthusiastic, professional, well-organized, and possess excellent communication and interpersonal skills.

This is a Fixed Term Contract for 1 year, covering maternity leave, working 3 days per week from 9am to 5.30pm with flexible days.

Responsibilities
  • Provide proactive administrative support, including audio typing
  • Produce high-quality documents with accuracy and professional presentation
  • Arrange travel, making cost-effective decisions
  • Manage the Director’s calendar, scheduling meetings and booking rooms
  • Handle correspondence, draft responses, and follow-up actions
  • Draft and type complex documentation such as letters, schedules, and reports
  • Maintain a bring-forward system for meetings and relevant documents
  • Respond to telephone inquiries or redirect as appropriate
  • Produce invoices via CRM, assist with overdue payments, and input invoice data
  • Complete KYC and onboarding processes
  • Open opportunities/projects in CRM
  • Maintain and update filing systems, send files to archive
  • Input expenses and perform general admin tasks (post, photocopying, scanning, filing)
  • Research and book restaurants, send calendar invites
  • Arrange venue bookings, refreshments, and equipment
Person Specification
Qualifications
  • Educated to A level standard or equivalent
Experience & Skills
  • Experience in busy, demanding environments
  • Proficiency in MS Word, Excel, PowerPoint
  • Excellent written and spoken communication skills
  • Attention to detail in literacy and numeracy
  • Team-oriented, organized, confident, and approachable
  • Ability to prioritize and meet deadlines
  • Self-motivated with a systematic approach
  • Thorough, conscientious, and able to multitask
