Job summary

Cardiff and Vale University Health Board is recruiting an administrative professional to join the Fylde Coast Admin Team. You will provide day-to-day support to clinical teams, be the first point of contact, handle queries, and input data including referrals and discharges using Trust IT systems.

The role requires NVQ Level 3 in Customer Care or Business Administration (or equivalent), diary management experience, and strong MS Office skills.

Qualifications

  • NVQ Level 3 in Customer Care or Business Administration or equivalent.
  • Demonstrable commitment to continuous personal development and awareness of Mental Health Network issues.
  • Knowledge of administrative procedures and practice; diary management experience as Secretary/Administrator.
  • Experience in fast-moving, confidential, deadline-driven environments and supporting/minuting meetings.

Responsibilities

  • Provide day-to-day administrative support to clinical teams, team leader and colleagues.
  • Respond to queries, pass on complex matters to the appropriate staff and manage telephone and visitor contact.
  • Minuting team meetings and recording staff supervisions/appraisals.
  • Data input including referrals and discharges; produce letters using Trust IT systems.
  • Monitor waiting lists and maintain effective relationships across departments.

Job description

This is an exciting opportunity for a committed individual to join the Administrative Team and assist in the smooth running of the service. Provide a range of administrative duties. Respond to queries, dealing with routine matters and passing on more complex queries to the appropriate member of staff Provide day to day support to clinical teams, team leader and colleagues. Work collaboratively with clinical teams, team leader, colleagues and other departments to ensure that all cases are dealt with in a timely manner. Attend and participate in team meetings and administrative service meetings as required. General data inputting, also including referrals and discharges, ensuring data is completed accurately, timely and proactively. Producing letters linked to this data using Trust IT systems. Participating in own supervision meetings, and workbook conversations. Be the first point of contact for the team or department, greeting visitors, answering telephones, taking and forwarding messages, ensuring that all telephone and personal callers receive a prompt, courteous, non-judgmental and well-informed response. Minuting team meetings as required. Completing and recording of staff supervisions/ Appraisals. Monitoring of waiting lists To create and maintain effective working relationships with staff at all levels, internal and external across the whole health economy.
This post forms part of a service currently subject to a service improvement and redesign programme. Service delivery models, roles and structures will be reviewed as part of the improvement process, which may result in changes and a consultation process in line with the Trust's Organisational Change Policy. You will provide day to day support whilst being the point of contact for the Clinical teams. You will have strong interpersonal and organisational skills, be computer literate and be able to use a variety of systems including Excel and Microsoft Office, possess excellent time management skills along with the ability to manage competing demands and priorities. This is a very varied role and would suit someone who is highly motivated and capable of working on their own initiative, with a medium level of supervision.,

  • NVQ Level 3 in Customer Care or Business Administration - or equivalent experience

  • Knowledge of a range of administrative procedures and practice., Previous experience as a Secretary/Administrator including diary management
  • Previous experience of working in a fast moving, confidential, sensitive, pressurised deadline driven environment.
  • Experience of supporting and minuting meetings
