Qualifications

  • Evidence of good typing skills e.g. RSA III/NVQ Level III in an admin related subject or equivalent.
  • Knowledge and understanding of confidentiality.
  • Audio typing skills.
  • Minute/note taking experience, Essential criteria.
  • Experience of providing secretarial/administrative duties.
  • Experience of working in a health environment.
  • Experience of working as a member of a team in an office environment.
  • Experience of general finance systems.
  • Experience of processes and procedures within this service area.
  • Experience of supporting the organisation of seminars, conferences, workshops etc.

Job description

An exciting opportunity has arisen for a new team administrator role to join the existing team in CWP Complex Needs Service West The successful candidate will provide a high quality supportive role to clients who may have a diagnosis of Personality Disorder. In Complex Needs West, we consider our admin team key to the ability of our clinicians to support our patients. They are a valued part of our structure. You will receive monthly high quality supervision to support people in their role and career aspirations. We try very hard to understand the difficulties and pressures working for an admin team within a complex clinical area supporting people with complex needs. We also offer a monthly business meeting as an arena to discuss with our team anything that will improve our service . Within the team you will be working alongside people who will support you in your role and a group of friendly clinicians who have lots of experience working with this group of patients. The successful candidate will bring an organised and compassionate approach to their working life.

This post is part time 36 hours per week. The Trust currently supports the Real Living Wage (RLW) hourly rate as set by the Living Wage Federation and will apply a pay supplement if the national A4C hourly rate falls below this. The role will also involve administrative duties such as electronic filing and updating electronic patient records, monitoring the service email inbox, responding to emails, sending out and receiving letters, taking meeting minutes, dictation, organising appointments and utilising excel spreadsheets, using the printer/scanner.

The main attributes we will be looking for in a candidate will be an ability to be welcoming to service users, and to handle often distressed and distressing conversations with service users and families. We are looking for someone who is organised and trustworthy who is able to underpin the work of our clinicians. Gathering information from phone calls or emails and passing it on in a reliable prompt way. A person who can be trusted to work as the link between clinician and patient through letters and phone calls.

The trust offers a Guaranteed Interview Scheme to any armed forces community applicants who meet the essential criteria for the post and encourages applications from armed forces reservists or cadet force adult volunteers. Please note applicants will be required to pay for their DBS check. Costs are deducted from salary following appointment. You are encouraged to enrol for the DBS Update Service. A small annual fee of £16 per year applies. The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
