Job summary

Hampshire Hospitals NHS Foundation Trust seeks a Band 4 Specialty Coordinator to provide and manage an efficient administrative service for Consultants and the wider team. You will handle diary management, clinic scheduling, and coordination of investigations to support patient care.

The role emphasises ensuring RTT timescales are met, preparing documentation for clinics, and maintaining smooth information flow across the department and clinical pathways. NHS environment experience is valued.

Qualifications

  • Good verbal and written communication with excellent telephone manner.
  • Experience of working with IT systems (Word/Excel/Access/PowerPoint).

Responsibilities

  • Co-ordinate and provide comprehensive secretarial and administrative services to Consultants and the wider team.
  • Day-to-day management of Consultants' diaries, clinics, appointments and theatre lists.
  • Arrange special investigations and manage issues arising from clinic appointments.
  • Ensure patient referral letters, clinical reports and investigation results are available for clinics.
  • Monitor RTT timescales and ensure they are adhered to.
  • Monitor clinical bookings to keep clinic times fully utilised and re‑organise as needed.

Job overview

An opportunity has arisen within our team for a band 4 Specialty Coordinator. You will be responsible for providing and managing an efficient and effective full administration service.

Main duties of the job
  1. To co-ordinate and be responsible for the provision of a comprehensive secretarial and administrative services to the Consultants and the wider team.
  2. Day to day management of the Consultants diaries eg organising clinic commitments, arranging appointments and theatre lists, where appropriate.
  3. To arrange special investigations and action other issues arising from clinic appointments, ensuring that all tasks are dealt with in order according to their urgency
  4. To ensure patient referral letters, clinical reports, correspondence, investigation results etc are available for preparation of clinics
  5. Responsible for ensuring that the National and Trust 'Referral to Treatment' (RTT) timescales are adhered to.
  6. Monitor clinical bookings to ensure that clinic times are fully utilised keeping patients informed of any changes. Be responsible for the re-organisation of cancellations delegating suitable duties where appropriate.

  • Good standard of general Education including English Language, maths of GCSE to grade c or above or working to equivalent standard
